A leading investment firm in Greenwich, CT is seeking a dynamic Facilities Manager to oversee their Greenwich and other office locations. This role requires experience utilizing Excel and space planning tools. This is reporting into the Director of Facilities.
Onsite 5 days a week with travel to the Stamford office location as needed
Hours: Core hours are 8:30-5:30 pm, flexibility as needed
Salary commensurate with experience - $130-150k base range + discretionary bonus + benefits + PTO
Responsibilities
- Work with department managers to understand space needs, in order to plan for re-stacks, office conversions or relocations to ensure adequate space allocation and configurations to meet the business needs.
- Project manage Facilities initiatives, including outlining timeline, budget, space and risk analysis, technical review of drawings, close‑out documentation and employee communications.
- Oversee multiple facilities locations (5 currently)
- Coordinate office improvements and space programming by outlining scope for architects and associated vendors.
- Manage OfficeSpace platform to ensure optimal data feeds, configurations and reporting.
- Oversee contract matrons and Reception to ensure excellence in day‑to‑day office operations.
- Manage daily office operations by ensuring space health and safety, cleanliness and organization. Coordinate with building engineers, security and cleaning staff on repairs/maintenance related issues.
- Manage global security system/platform by performing monthly audits and ensuring standardized access levels and credentials, while aligning universal process with all regional offices.
Requirements
- 7-10+ years of facilities/office management/construction experience required
- Strong project management, technical, and analytical skills required
- Experience utilizing Excel is required – this will be heavily involved in V‑Lookups, Pivot Tables, Spreadsheets
- Experience working with a space planning tool is required – this will be working with CAD, technical drawings, and floor plans
- Ability to manage access control/security platforms, OfficeSpace, technical drawings and floor plans and strong working knowledge of Excel (pivot tables; formulas, etc.) and PowerPoint
