Job description

Job Title: Facilities and Maintenance Manager

The Facilities and Maintenance Manager is responsible for assisting the Property Manager in the overall management and supervision of housing rehabilitation and maintenance operations across a scattered sites housing portfolio. This role involves daily management of multiple operations and coordination with property managers, field supervisors, maintenance staff, contractors, subcontractors, and architects in a professional manner. The manager will stay updated on safety policies and communicate updates to maintenance and janitorial staff. This position reports to the Facility & Maintenance Manager.

ESSENTIAL JOB FUNCTIONS
  1. Support the Property Manager in fulfilling duties and supervise office administrative functions, customer service vendors, and personnel.
  2. Supervise the delegation, assignment, and completion of work orders.
  3. Perform work-order close-out audits, inspect work, and assist with work order analysis.
  4. Assess and improve in-house systems, workflows, schedules, staffing capacity, and develop procedures to enhance employee and department performance.
  5. Prepare and manage records such as incident & accident reports for insurance claims and follow-up.
  6. Monitor maintenance logs as required.
  7. Prepare and review quarterly and monthly reports.
  8. Supervise fleet vehicle maintenance policies and implementation.
  9. Monitor responses to complaints and correspondence.
  10. Participate in annual staff evaluations.
  11. Engage in ongoing education and research to improve procedures and efficiencies.
  12. Assist in monitoring the physical condition of properties.
  13. Participate in procurement and vendor recommendation processes.
  14. Assist in scheduling safety meetings and OSHA compliance training.
  15. Track and monitor inventories.
Mandatory Job Qualifications
  • College degree; CMH and ARM designations recommended.
  • Minimum of two years supervisory experience.
  • At least two years of assisted housing experience, including maintenance work.
  • Strong computer and customer service skills.
  • Bilingual in Spanish; strong communication and cultural skills.
  • Highly organized with strong administrative skills.
  • Valid vehicle, insurance, and a good driving record.
