Position Overview:

We are seeking a Facilities Administrative Coordinator based at our Tampa HQ, working Monday to Friday.

Key Responsibilities:
  1. Manage incoming/outgoing communications via phone and email.
  2. Maintain departmental databases and spreadsheets.
  3. Handle correspondence, mail, and supplies.
  4. Prepare routine documents and correspondence.
  5. Coordinate meetings and maintain calendars.
  6. Create presentations and related materials.
  7. Ensure office efficiency and compliance with company policies.
  8. Support budgeting, procurement, and project documentation using SAP, Ariba, Word, and Excel.
  9. Manage vendor lists, service calls, and maintenance requests.
  10. Assist with project tracking and support vendor and contractor coordination.
Qualifications:
  • High school diploma or GED; some college preferred.
  • 1-2 years of experience in an automated office environment.
  • Proficient in MS Office and SAP.
  • Strong organizational and interpersonal skills.
  • Ability to work flexible hours as needed.
  • Excellent phone etiquette and multi-line system knowledge.
  • Bilingual skills are a plus but not required.
