Facilities Coordinator (Finance)

Coke Florida is seeking a Facilities Administrative Coordinator based at our Tampa HQ, working Monday through Friday.

What You Will Do:
Roles and Responsibilities:
  1. Manage incoming and outgoing phone and email communications.
  2. Maintain departmental database systems and lists; create and update spreadsheets.
  3. File, fax, distribute mail, and order supplies.
  4. Prepare letters, memos, and routine correspondence.
  5. Interface with customers and management at various levels.
  6. Coordinate meetings and maintain the department calendar.
  7. Create presentations and related materials.
  8. Demonstrate excellent organizational skills.
  9. Exhibit outstanding communication and interpersonal abilities.
  10. Be familiar with office management procedures and basic accounting principles.
  11. Have a strong knowledge of MS Office and office management software such as ERP.
  12. Coordinate office activities to ensure efficiency and policy compliance.
  13. Manage agendas, travel schedules, and appointments.
  14. Handle phone calls and correspondence, including emails, letters, and packages.
  15. Support budgeting and bookkeeping procedures.
  16. Create and manage Purchase Orders using SAP/Ariba.
  17. Perform Good Receipts for Purchase Orders.
  18. Work with contractors to schedule work or clarify details for PO creation.
  19. Enter data in Angus Anywhere work order system.
  20. Maintain the vendor list and task schedules for facilities.
  21. Assist in creating statements of work and supporting documents for projects.
  22. Update project trackers for procurement and security projects.
  23. Place and track service calls to vendors.
  24. Track and file vendor Certificates of Insurance.
  25. Oversee the completion of maintenance requests.
Qualifications:
  1. High school diploma or GED; some college preferred.
  2. Entry-level to 2 years of experience in an automated office environment.
  3. Proficiency in Microsoft Office and SAP.
  4. Team player with collaboration skills.
  5. Flexibility to work hours based on project deadlines.
  6. Excellent phone etiquette and familiarity with multi-line phone systems.
  7. Bilingual skills are a plus but not required.
