Position Summary
The Facilities Operations Coordinator is responsible for supporting the day-to-day operation, maintenance, safety, and reliability of corporate facilities and critical building infrastructure. This position coordinates preventive maintenance, repairs, vendors, facilities projects, emergency response, physical security, and building services to ensure a safe, efficient, and fully operational workplace.
Key Responsibilities
Office & Workplace Services
- Coordinate workplace services, conference room requirements, catering, events, and other office support activities.
- Manage onsite service vendors responsible for workplace cleanliness, pantry services, catering support, and related office services.
- Ensure common areas and employee amenities are properly maintained and stocked.
- Respond to employee and business-unit facilities requests in a timely and professional manner.
Facilities Projects & Office Moves
- Coordinate facilities projects including office renovations, remodeling, relocations, downsizing initiatives, and departmental moves.
- Develop schedules and coordinate activities with internal stakeholders, vendors, building management, and contractors.
- Support planning and execution of building shutdowns and infrastructure testing.
- Coordinate and supervise onsite facilities engineers, mechanics, maintenance personnel, and third-party vendors.
- Schedule vendor maintenance, inspections, repairs, and service activities.
- Review and monitor facilities service contracts and vendor performance.
- Coordinate vendor access and ensure contractors follow applicable building, security, and safety procedures.
- Review invoices and service documentation and coordinate submission to Accounts Payable, Procurement, and management for payment.
Facilities Operations & Maintenance
- Coordinate the daily operation and maintenance of corporate facilities and building infrastructure.
- Monitor and support critical mechanical, electrical, plumbing, and HVAC (MEP) systems.
- Log, track, and respond to facilities service requests, maintenance issues, and emergency repairs.
- Coordinate routine inspections, testing, certifications, and maintenance activities to ensure compliance with applicable requirements.
Physical Security & Access Management
- Support physical security operations, including employee and visitor access.
- Coordinate visitor management and contractor access.
- Coordinate with security personnel and building management on facilities and access-related matters.
Required Qualifications
- 2+ years of experience in facilities coordination, facilities management, building operations, workplace services, or a related field.
- Experience supporting corporate or commercial facilities, preferably in a financial services or other mission-critical environment.
- Working knowledge of HVAC and MEP systems.
- Experience coordinating preventive maintenance and facilities service vendors.
- Experience with facilities projects, office relocations, renovations, or remodeling.
- Strong organizational and project coordination skills.
- Excellent troubleshooting and problem-solving abilities.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and respond effectively to urgent facilities issues.
- Strong attention to detail and documentation skills.
- Ability to work effectively with employees, management, contractors, vendors, and building management.
Education & Certifications
A high school diploma or equivalent is required. Additional education or training in facilities management, building operations, engineering, construction, or a related discipline is preferred.
