Job Description
Position Summary

Responsible for supporting the Manager in managing Breezeline facilities and property leases, sourcing vendors, maintaining records, verifying invoices, analyzing data, and preparing reports. Provides backup support to reception and maintains ID/access and parking records.

Responsibilities
  1. Provide administrative support to Facilities and Finance teams, including correspondence, project follow-up, research, and report development.
  2. Analyze and prepare business cases for capital investments and monitor operational expenses.
  3. Coordinate facility projects, prepare communications, documentation, and track actions.
  4. Manage project budgets and requisitions in financial systems.
  5. Track and report energy and utility KPIs.
  6. Verify invoices for accuracy and support procurement negotiations.
  7. Maintain records of contracts, leases, and costs.
  8. Facilitate collection of division information and report on initiatives.
  9. Assist in budget development and monitoring.
  10. Communicate with managers, contractors, and leaseholders regarding maintenance issues.
  11. Oversee work related to safety, risk management, HVAC, and daily activities.
  12. Participate in employee engagement activities.
  13. Develop and maintain forms, procedures, and communications.
  14. Maintain property and insurance records, ensure compliance with regulations.
  15. Support safety and emergency procedures documentation.
  16. Handle facility requests via Service Desk Ticketing System.
  17. Perform other duties as assigned, ensuring health and safety compliance.
Qualifications
  • College Diploma or equivalent experience.
  • Minimum 3 years relevant facility/property management administrative experience.
  • 3+ years managing vendors and contracts.
Competencies
  • Project management and organization skills.
  • Proficiency in MS Office (Word, Excel, Access, PowerPoint).
  • Analytical skills, financial system knowledge, customer service, communication, teamwork, organizational skills.
  • Ability to manage multiple priorities and exercise judgment with confidential information.

This role has no supervisory responsibilities.
