Role Summary

Global Workplace Solutions is looking for a part-time (24 hours/week) Facilities Assistant in our Cranberry Township office to handle general reception tasks as well as coordinating maintenance on the Labs and Data Centers. The role will assist the Workplace Solutions Regional Manager and Cranberry Stakeholders to ensure the office is functioning efficiently. The ideal candidate will be a self-starter with the ability to work independently. The GWS department has the unique advantage of collaborating with all Sophos departments. As such, the GWS role presents an opportunity to showcase a whole range of skills to keep the Cranberry office running as efficiently as possible. Communication, organizational and problem-solving skills will be critical to the position.


What You Will Do
  • Represent the Sophos Cranberry office as the main point of contact for everything related to the day-to-day office functionality, including greeting visitors and new hires, following up with staff, Facilities and Reception related queries, managing stationery, distributing access badges, tidying meeting rooms, and coordinating meetings.
  • Track maintenance schedules and coordinate with the appropriate vendors to ensure preventative maintenance is completed for all Building and Lab infrastructure including UPS, HVAC, Fire Suppression, Generator and Physical Security. Engage on short notice when reactive maintenance is required.
  • Stock the kitchen and order supplies to ensure food and drink are available each day for staff.
  • Report into the Regional Facilities Manager and Assistant Regional Facilities Manager to support global initiatives related to Health and Safety and Environment.
  • Coordinate logistics with local Engineering personnel to keep the loading dock organized for the large volume of incoming and outgoing shipments. Manage competing priorities by understanding the needs and communicating limitations.
  • Act as point of contact with the Landlord of the building. Send out office-wide communications to keep staff informed of any relevant information.
  • Manage incoming and outgoing mail to the office, informing staff of deliveries and distributing mail to relevant parties.
What You Will Bring
  • Self-starter and ability to work independently.
  • 3 years of demonstrated Facilities, Building Management or Workplace Solutions experience.
  • Facilities Management certification (BOMA, IFMA, etc), or equivalent an asset.
  • Excellent organizational skills to keep the office functioning to a very high standard.
  • Ability to meet and exceed project timeline goals.
  • Customer focused on building relationships with department leads, staff, building personnel and outside vendors.
  • Attention to detail to ensure Security, Health, Safety and Environment are managed in accordance with Sophos company policies.
  • A constant mind for improvement as to how we can better the workplace experience.
  • Reliability as the main point of contact for the office.

This is a part-time role (24 hours/week) at $30/hour.
