Job summary

CBRE Group, Inc. is seeking a Facilities Associate to support Facilities Managers across seven client locations with a remote-first approach. You will own work order management, vendor coordination, and service delivery oversight to ensure SLAs are met and operations run smoothly.

You will create and manage purchase orders, verify coding, review invoices, and maintain CMMS data while collaborating with vendors and clients to deliver exceptional service and operational excellence.

Qualifications

  • High School Diploma or GED required; Associate or bachelor’s degree preferred.
  • 3+ years of experience in facilities administration, coordination, or work order management.
  • Experience using CMMS to manage work orders.

Responsibilities

  • Own the end-to-end work order lifecycle: intake, prioritization, assignment, tracking, follow-up and closure.
  • Monitor open work orders and SLAs, escalate to drive timely resolution.
  • Create and manage purchase orders; ensure proper coding and vendor assignment.

Job description

About the Role:

As a CBRE Facilities Associate, you will play a vital role in supporting a team of Facilities Managers across seven client locations. This remote position serves as a key administrative partner, helping ensure facilities operations run efficiently by managing work order activity, vendor coordination, and service delivery performance.

In this role, you will take ownership of the work order management process, including monitoring open requests, responding to inquiries, determining priority levels, tracking progress, facilitating timely resolution, and closing out work orders. You will also help ensure service level agreements (SLAs) are consistently met by maintaining accurate records and proactively following up on outstanding items.

Additionally, you will be responsible for creating purchase orders, verifying coding and pricing accuracy, and ensuring work is assigned to the appropriate vendors. Your attention to detail, organizational skills, and ability to coordinate across multiple stakeholders will be critical to the success of the team.

This job is part of the Facilities Management functional area, which focuses on supporting the day-to-day operations of client assets and partnering with Facilities Managers, vendors, and clients to deliver exceptional service and operational excellence.

What You'll Do:
  • Serve as a key support resource for a team of Facilities Managers across seven client locations, ensuring timely and efficient execution of facilities-related requests.
  • Manage the full lifecycle of work orders, including intake, prioritization, assignment, tracking, follow-up, and closure.
  • Monitor open work orders and service requests to ensure compliance with established service level agreements (SLAs), escalating issues as needed to drive timely resolution.
  • Review work order data and generate reports to track performance metrics, identify trends, and communicate status updates to stakeholders.
  • Coordinate with vendors, clients, and internal teams to ensure service requests are completed accurately and efficiently.
  • Create and manage purchase orders (POs), ensuring costs are accurate, properly coded, and assigned to the appropriate vendor.
  • Review vendor proposals, invoices, and supporting documentation for accuracy, completeness, and compliance with established procedures.
  • Maintain accurate facilities records, documentation, and system data within the CMMS and other tracking tools.
  • Respond to inquiries regarding work order status, vendor activity, and facilities service requests, providing exceptional customer support.
  • Identify process improvement opportunities and recommend solutions that enhance efficiency, service delivery, and team performance.
  • Gather and analyze data to resolve operational issues and support informed decision-making.
  • Collaborate with Facilities Managers and vendors to ensure consistent service delivery and a positive client experience.
What You'll Need:
  • High School Diploma or GED required. Associate or bachelor’s degree preferred.
  • 3+ years of experience in facilities administration, facilities coordination, work order management, or a related role.
  • Experience using a Computerized Maintenance Management System (CMMS) to manage, track, and report on work orders required.
  • Experience creating and managing purchase orders within Coupa strongly preferred.
  • Strong proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and Teams.
  • Demonstrated ability to manage multiple priorities, maintain accurate records, and meet established deadlines in a fast-paced environment.
  • Strong organizational skills with exceptional attention to detail and a customer service-oriented mindset.
  • Ability to analyze data, track performance metrics, and identify opportunities to improve operational efficiency.
  • Effective written and verbal communication skills with the ability to collaborate across teams and interact professionally with vendors and clients.
  • Ability to evaluate and communicate complex or unusual issues in a clear, concise, and logical manner.
  • Must be authorized to work in the United States without current or future sponsorship requirements.
