You will support Property Managers by managing repair workflows, reviewing vendor proposals, and handling purchase orders in COUPA while maintaining compliance and timely reporting to management.

Qualifications

  • High School Diploma or GED with 3–4 years of related experience.
  • Must live within the Pacific Standard Time zone.
  • Experience in vendor coordination or facilities maintenance.
  • Proficiency with CMMS platforms and COUPA procurement software.
  • Strong client-facing communication and problem-solving skills.
  • Advanced knowledge of Microsoft Office (Word, Excel, Outlook).

Responsibilities

  • Coordinate building maintenance activities across a large healthcare portfolio.
  • Serve as the primary point of contact for escalated communications between landlords, tenants, and third-party service providers.
  • Manage end-to-end work orders via CMMS, ensuring timely scheduling and resolution of repairs.
  • Prioritize emergency work order requests to meet SLAs and healthcare requirements.
  • Review and audit vendor proposals, invoices, and documentation for accuracy and compliance.
  • Prepare and present progress status reports regarding work orders to management and stakeholders.
  • Manage purchase order requests and financial approvals within COUPA.
  • Assist facilities team with expense report submissions and procurement of parts.
  • Collaborate cross-functionally with maintenance teams and internal client stakeholders to resolve issues.
  • Suggest improvements to processes to improve team efficiency.

About the Role

As a Facilities Associate Coordinator, you will coordinate facility operations for a large healthcare portfolio across California. In this role, you will act as the primary liaison between landlords, tenants, and service providers to ensure the successful execution of maintenance activities.

You will support Property Managers by managing repair workflows, facilitating investment plans, and ensuring operational compliance. This is a fully remote position.

What You'll Do
  • Coordinate building maintenance activities across a large, multi-site healthcare portfolio.
  • Serve as the primary point of contact for escalated communications between landlords, tenants, and third-party service providers.
  • Manage end-to-end work orders via the Computerized Maintenance Management System (CMMS), ensuring timely scheduling and resolution of repairs.
  • Prioritize emergency work order requests to meet service level agreements and critical healthcare operational requirements.
  • Review and audit vendor proposals, invoices, and documentation for accuracy and contractual compliance.
  • Prepare and present progress status reports regarding work orders to management and key stakeholders.
  • Manage purchase order requests and financial approvals within the COUPA system.
  • Assist the facilities team with expense report submissions and the procurement of parts for repairs.
  • Collaborate cross-functionally with maintenance teams and internal client stakeholders to resolve operational issues.
  • Impact own team and other teams whose work activities are closely related.
  • Suggest improvements to existing processes and solutions to improve the efficiency of the team.
What You'll Need
  • High School Diploma or GED with 3-4 years of job-related experience.
  • Must live within the Pacific Standard Time zone.
  • Prior experience in vendor coordination or facilities maintenance.
  • Proficiency with CMMS platforms and procurement software (COUPA experience preferred).
  • Demonstrated ability to manage client-facing relationships and navigate escalated communications.
  • Working knowledge of facilities maintenance processes and documentation.
  • Ability to evaluate and communicates unusual and/or complex content in a concise and logical way.
  • In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Organizational skills with an advanced inquisitive mindset.
  • Advanced math skills. Ability to calculate advanced figures such as percentages, discounts, and markups.
