Responsibilities

  • Facilities and Maintenance: Perform routine building maintenance and minor repairs (e.g. fixtures, hardware, patching).
  • Install equipment and furnishings as needed (e.g. shelving, furniture, etc.).
  • Monitor HVAC units, lighting, and utilities for energy efficiency and stewardship.
  • Ensure the upkeep of buildings, grounds, equipment, and vehicles.
  • Coordinate repairs and maintenance projects, including plumbing, electrical, HVAC, and structural repairs.
  • Develop and implement preventive maintenance schedules to prolong the lifespan of facilities and equipment.
  • Collaborate with and support the School Nurse to ensure the success of the lunch program and compliance with state and local regulations for the School’s lunch program.
  • Oversee and manage the School’s Facility Rental Program and staff including vetting renters to ensure programmatic success and additional income.
  • Transportation Maintenance: Manage transportation fleet including insurance registrations and inspections.
  • Safety and Security: Implement safety protocols and procedures to maintain a safe and secure environment for students, staff, and visitors.
  • Budget Management: Assist the CFO in the development of and manage the annual facilities budget.

The Facilities and Campus Operations Associate has the responsibility for ensuring that our campus, building, and the small transportation fleet are safe, functional, welcoming, and stewarded with excellence. This part-time, 12-month position supports daily facilities operations through maintenance, basic repairs, janitorial support, campus safety routines, rental support, event set-up, IT assistance, and general operations. This includes but is not limited to managing seasonal maintenance staff, engaging with, and managing outside facilities related contractors, coordinating repair and renovation projects, and implementing safety protocols to create a conducive environment for teaching and learning. The ideal Associate enjoys hands‑on work, loves serving children and staff, and cares deeply about supporting the School’s mission through behind‑the‑scenes operational excellence.

Duties And Responsibilities
  • Facilities and Maintenance:
  • Perform routine building maintenance and minor repairs (e.g. fixtures, hardware, patching)
  • Install equipment and furnishings as needed (e.g. shelving, furniture, etc.)
  • Monitor HVAC units, lighting, and utilities for energy efficiency and stewardship
  • Ensure the upkeep of buildings, grounds, equipment, and vehicles.
  • Complete daily/weekly checks of all school property to ensure facilities needs are addressed timely.
  • Schedule and oversee routine and required inspections of facilities to identify and address maintenance issues promptly.
  • Coordinate repairs and maintenance projects, including plumbing, electrical, HVAC, and structural repairs.
  • Develop and implement preventive maintenance schedules to prolong the lifespan of facilities and equipment.
  • Collaborate with and support the School Nurse to ensure the success of the lunch program and compliance with state and local board of health regulations for the School’s lunch program.
  • Provide support in setting up for and cleaning up from various school events throughout the year.
  • Manage and maintain relationships with outside janitorial company and maintain janitorial supplies and equipment.
  • Manage and maintain relationships with outside landscaping, snow/ice removal, pest control, and trash/recycling companies to ensure the needs of the school are met and the budget is maintained.
  • Oversee and manage the School’s Facility Rental Program and staff including meeting with and vetting potential renters to ensure programmatic success and additional income to support the School’s budget.
  • Oversee school vacation and summer support staff to ensure internal facilities projects are completed well, on schedule, and within budget.
  • Transportation Maintenance
  • Manage transportation fleet including insurance registrations and inspections are completed timely.
  • Maintain communication with School drivers to ensure vehicle maintenance is properly maintained, vehicles remain in good condition, and meet all legal requirements to operate effectively for the School.
  • Complete small repairs as needed and arrange for larger repairs and routine maintenance to best align with the school’s schedule and overall transportation needs.
  • Safety and Security:
  • Implement safety protocols and procedures to maintain a safe and secure environment for students, staff, and visitors.
  • Conduct regular safety inspections and address any hazards or safety concerns immediately.
  • Ensure compliance with building codes, fire safety regulations, and other relevant standards.
  • Budget Management:
  • Assist the CFO in the development of and manage the annual facilities budget, including allocating funds for maintenance, repairs, and renovations and monitoring utilities usage.
  • Identify cost‑saving opportunities and prioritize expenditures to maximize resources.
  • Obtain quotes, negotiate contracts, and oversee vendor relationships to ensure cost‑effective services.
  • Project Management:
  • Plan and oversee facility renovation, construction, and expansion projects from conception to completion.
  • Coordinate with architects, contractors, and other stakeholders to ensure projects are completed on time and within budget.
  • Monitor project progress, resolve issues, and communicate updates to school administration and staff.
  • Environmental Sustainability:
  • Implement sustainable practices to reduce energy consumption, water usage, and waste generation.
  • Identify opportunities for energy efficiency upgrades, recycling programs, and environmentally friendly practices.
  • Educate staff and students about the importance of environmental stewardship and encourage participation in sustainability initiatives.
