Job summary

Universal Music Group (UMG) in Santa Monica, CA seeks an Administrative Assistant to support the US CFO and SVP Finance. The role includes heavy calendar management, travel bookings, expense processing, and general departmental support in a fast-paced music industry environment.

You will assist with accounts payable/vendor coordination in Uniport, maintain finance distribution lists, and serve as a point of contact for non-finance staff.

Qualifications

• Minimum 5 years of experience supporting a high-level executive with discretion and confidentiality.
• Experience supporting more than one executive is ideal.
• Administrative experience in the music/entertainment industry or finance is highly preferred.

Responsibilities

• Heavy calendar management (Outlook), arranging meetings and calls via Zoom and email.
• Prepare for and remind executives of upcoming meetings with discretion.
• Coordinate and prioritize requests, including time-sensitive approvals.
• Book travel, accommodations, car service and restaurant reservations.
• Prepare and process expense reports.
• Handle conference room bookings, food services, AV needs.
• Support accounts payable and vendor administration in Uniport.
• Organize office spaces and assist IT/Facilities as needed.
• Maintain and order office supplies and assist with other projects.
