J MAR's client, a privately held energy company headquartered in Dallas, is seeking an experienced Senior Executive Assistant to serve as a trusted partner to the Chief Executive Officer. This individual will manage the CEO's schedule, communications, and commitments while anticipating needs, prioritizing competing demands, and ensuring follow-through on critical business matters.

The CEO operates in a fast-paced, high-accountability environment with a direct communication style. The ideal candidate brings progressive executive support experience, exceptional judgment, flexibility, and composure under pressure. This individual must demonstrate the highest level of confidentiality, professionalism, and reliability while interacting regularly with executive leadership, board members, and external business partners.

KEY RESPONSIBILITIES

  • Take full ownership of the CEO's calendar, independently prioritizing competing requests and making scheduling decisions.
  • Anticipate the CEO's needs and ensure meeting preparation, including relevant materials, background information, and logistics.
  • Serve as the CEO's central point of coordination, managing incoming communications and requests.
  • Track key priorities, commitments, and action items, proactively following up to ensure timely completion.
  • Plan and coordinate executive meetings, board meetings, and offsites, including agendas, materials, logistics, and follow-up.
  • Manage complex business travel, anticipate potential issues, and resolve unexpected changes.
  • Identify and address operational inefficiencies, bringing structure and clarity to competing priorities.
  • Exercise sound judgment and discretion when handling confidential information, sensitive communications, and challenging situations.
  • Maintain a professional executive presence while working effectively with senior leadership, board members, and external partners.

REQUIRED QUALIFICATIONS

  • Significant experience directly supporting a CEO or other C-suite executive, with demonstrated career progression and increasing levels of responsibility.
  • Exceptional organizational skills, attention to detail, and the ability to independently prioritize competing demands.
  • Proven ability to maintain strict confidentiality and exercise sound judgment when handling sensitive business matters.
  • Strong interpersonal skills, emotional composure, and the ability to navigate high-pressure or difficult situations professionally.
  • Excellent written and verbal communication skills and the confidence to interact effectively with senior executives and board members.
  • Highly dependable, punctual, adaptable, and proactive, with a consistent record of anticipating needs and following through on commitments.
  • Advanced proficiency in Microsoft Office.
  • Experience supporting C-suite leadership within the energy industry or a similarly fast-paced corporate environment.
  • Experience coordinating executive and board meetings, offsites, and complex business travel.
  • Experience with Concur for travel and expense management.

WORK SCHEDULE

Monday–Thursday in the Dallas office, with Fridays remote. Punctuality and reliability are essential.
