Bilingual Executive Administrative Coordinator (Korean/English)
Location: Austin, TX
Pay Rate: $34.00 - $36.00/hour
Schedule: Full-Time | Onsite | North Austin
We are seeking a highly organized and professional Bilingual Executive Administrative Coordinator to support a fast-paced, global organization. This role is ideal for an experienced administrative professional who excels at coordinating executive-level activities, managing cross-functional communication, and serving as a key liaison between global headquarters and local teams. Fluency in both Korean and English is required.
Key Responsibilities
Calendar & Meeting Operations
- Manage complex, multi-team calendars and coordinate global meetings across time zones.
- Schedule conference rooms, technology resources, and catering as needed.
- Prepare meeting agendas, record meeting minutes, and track action items through completion.
Documentation & Knowledge Management
- Create, review, and maintain project documentation, meeting notes, compliance records, and project charters.
- Ensure document version control, naming conventions, and audit-ready archiving practices.
Budgeting & Expense Oversight
- Monitor departmental budgets and expenditures.
- Reconcile expenses and invoices with Finance during month-end close activities.
- Identify budget variances and recommend cost‑saving opportunities.
Cross‑Functional Liaison & Stakeholder Management
- Serve as the primary point of contact for internal inquiries and requests.
- Coordinate communication between departments to ensure timely issue resolution.
- Draft internal communications, executive correspondence, presentations, and intranet updates.
- Utilize Korean language proficiency and cultural expertise to facilitate communication between global headquarters and local teams.
Vendor & Contract Management
- Maintain vendor records and documentation.
- Support service agreement negotiations and track contract renewals.
Event & Onboarding Coordination
- Coordinate onboarding programs, team events, workshops, and training sessions.
- Manage logistics, vendors, schedules, and post‑event evaluations.
Process Improvement & Automation
- Identify workflow inefficiencies and support process improvement initiatives.
- Participate in Lean, Kaizen, and continuous improvement projects.
Compliance & Data Security
- Maintain records and documentation in accordance with corporate compliance requirements.
- Support internal and external audits and ensure adherence to data security standards.
Special Projects
- Assist with dashboards, reporting, research, intranet enhancements, and other strategic initiatives as assigned.
Required Qualifications
- Native or professional‑level fluency in Korean and English (written and verbal).
- Strong understanding of Korean business culture, corporate hierarchy, and professional etiquette.
- 3+ years of administrative, executive assistant, office management, project coordination, or related experience.
- Experience supporting multiple stakeholders in a fast‑paced corporate environment.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams.
- Excellent communication, problem‑solving, and interpersonal skills.
Preferred Qualifications
- Experience supporting executives within a multinational or global organization.
- Knowledge of budgeting, expense tracking, and vendor management.
- Experience with process improvement methodologies such as Lean or Kaizen.
- Background in manufacturing, technology, semiconductor, or corporate environments is a plus.
