Executive Assistant to Principal Attorney

A growing and highly regarded law firm is seeking a highly organized, proactive, and resourceful Executive Assistant / Personal Assistant to provide comprehensive support to the firm’s Principal Attorney.
You will work closely with the Principal Attorney to ensure her professional and personal responsibilities are organized and handled efficiently, allowing her to remain focused on legal work, business development, client relationships, and the continued growth of the firm.
The ideal candidate is a highly capable self-starter who can anticipate needs, manage competing priorities, communicate professionally, exercise sound judgment, and take ownership of responsibilities from start to finish.
This is more than a traditional administrative role. The Executive Assistant will serve as a trusted extension of the Principal Attorney and will play an important role in keeping her schedule, communications, relationships, travel, and priorities organized.

Schedule: Full-Time | Monday–Friday, 9:00 AM–5:00 PM Pacific Time
Compensation: $80,000 annually, negotiable based on experience

Key Responsibilities
Executive Calendar & Schedule Management
- Manage and optimize the Principal Attorney’s professional and personal calendar.
- Schedule, coordinate, and confirm meetings with clients, attorneys, colleagues, professional partners, and other contacts.
- Ensure appointments include appropriate Zoom links, locations, reminders, and supporting materials.
- Identify and resolve scheduling conflicts proactively.
- Monitor deadlines, commitments, and upcoming priorities.
- Provide daily and weekly schedule summaries and preparation reminders.
- Coordinate lunches, networking events, appointments, speaking engagements, conferences, and other commitments.
- Maintain visibility across professional, personal, and family schedules.
- Coordinate with family members, babysitters, and other personal support resources as needed.
Email & Communication Management
- Monitor and organize the Principal Attorney’s inbox.
- Identify urgent, time-sensitive, and high-priority communications.
- Draft and respond to emails on the Principal Attorney’s behalf when appropriate.
- Track follow-ups and ensure important communications do not fall through the cracks.
- Ensure dates, deadlines, meetings, and action items mentioned in emails are appropriately added to the calendar or task list.
- Serve as a professional liaison between the Principal Attorney and clients, attorneys, team members, vendors, and professional contacts.
Travel & Event Coordination
- Research, arrange, book, and confirm flights, hotels, transportation, and other travel logistics.
- Prepare detailed travel itineraries and organize confirmations.
- Coordinate travel for conferences, speaking engagements, study groups, business development activities, and personal trips.
- Provide logistical support before and during travel as needed.
- Assist with firm retreats, holiday parties, team-building activities, and other firm events.
- Coordinate event materials, accommodations, reservations, and other logistical details.
Administrative & Organizational Support
- Organize, scan, file, and maintain business and legal documents.
- Prepare meeting agendas, presentations, and other materials.
- Maintain the Principal Attorney’s task list and track outstanding action items.
- Follow up with team members to ensure delegated tasks are completed.
- Coordinate office supply orders and vendor relationships as needed.
- Maintain an organized and current professional contact database.
- Enter and update contacts from business cards, emails, LinkedIn, and other sources.
- Assist with research related to financial accounts, credit cards, rewards programs, points, and other business-related opportunities.
- Maintain organized records of invoices, payments, travel expenses, gifts, and other business development expenses.
Client & Professional Relationship Support
- Serve as a trusted point of contact between the Principal Attorney and clients, attorneys, financial professionals, colleagues, and other professional contacts.
- Coordinate lunches, networking meetings, and professional engagements.
- Assist with follow-up communications after meetings and events.
- Maintain and update professional relationship databases, including LinkedIn and other networking platforms.
- Support referral outreach and relationship-building activities.
- Help ensure important professional relationships are consistently nurtured and followed up with.
Personal & Family Support
- Coordinate personal appointments, reservations, and other personal commitments.
- Assist with family scheduling and logistics as needed.
- Coordinate family travel plans and related arrangements.
- Assist with school schedules, family events, and occasional childcare-related logistics.
- Research and arrange personal services, reservations, and appointments.
- Coordinate the purchase and delivery of gifts for birthdays, holidays, special occasions, clients, employees, and firm events.
Financial, HR & Staff Support
- Serve as backup support to the Office Manager for business account payments and subscriptions.
- Assist with processing invoices and tracking firm expenses as needed.
- Maintain records related to travel, gifts, business development, and other expenses.
- Track employee birthdays and anniversaries.
- Coordinate employee gifts and acknowledgments.
- Assist with team events, training, development activities, and other staff initiatives.
Contingency & Operational Support
- Anticipate potential scheduling or logistical issues and address them before they become problems.
- Develop backup plans for important meetings, travel, events, and commitments.
- Coordinate with the Office Manager and other team members to delegate or redistribute tasks when necessary.
- Maintain organized access to important documents, emergency contacts, and other resources necessary for seamless executive support.
- Handle urgent or unexpected requests with professionalism and sound judgment.
Qualifications & Skills
- 3+ years of experience as an Executive Assistant, Personal Assistant, Virtual Assistant, Office Manager, or similar role.
- Experience supporting a business owner, executive, attorney, or other high-level professional is strongly preferred.
- Exceptional organizational and time-management skills.
- Excellent written and verbal English communication skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong calendar and inbox management skills.
- Experience coordinating travel, meetings, events, and complex schedules.
- Strong research and problem-solving abilities.
