Job summary

Miami Family Law in Miami, FL is seeking an Executive Assistant / Office Operations Coordinator to support firm leadership and keep the office running smoothly in a fast-paced, structured environment.

You will manage calendars, coordinate meetings, greet clients, oversee office supplies, and assist attorneys with administrative tasks, documents, and filing, ensuring professionalism and high client service.

Qualifications

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Experience supporting executives, attorneys, or leadership teams
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Professional demeanor and strong client service skills
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Proficiency in Microsoft Office, including Word, Outlook, and Excel

Responsibilities

  • Manage complex calendars and scheduling for leadership
  • Coordinate meetings, appointments, and internal events
  • Anticipate scheduling conflicts and proactively resolve issues
  • Track action items, projects, and follow-ups to support execution
  • Provide day-to-day administrative support to leadership as needed
  • Serve as the first point of contact for clients and visitors
  • Maintain a professional, organized, and welcoming office environment
  • Manage office supplies and coordinate with vendors
  • Answer and direct incoming calls professionally
  • Assist with general office needs and occasional errands
  • Organize and maintain digital and physical files
  • Assist with document management, scanning, and filing
  • Support attorneys and leadership with administrative tasks
  • Help ensure documents, communications, and records are handled accurately and efficiently

Requirements
Required
