Executive Assistant & Administrative Coordinator

RocketRez is seeking a highly organized and proactive Executive Assistant & Administrative Coordinator to support our CEO and provide essential administrative assistance across HR, finance, and office operations. This full-time role is perfect for someone who thrives in a dynamic environment, loves organization, and is eager to jump in wherever needed.

As a key member of our team, you’ll manage executive scheduling, assist with HR and state registrations, handle in-office administration tasks, and contribute to finance-related activities. If you’re detail-oriented, resourceful, and enjoy administrative work, we’d love to hear from you!

Location: In-Office Steinbach Manitoba

Key Responsibilities

Executive Support

  • Manage the CEO’s calendar by scheduling meetings, appointments, and travel arrangements (including flights and accommodations).
  • Organize and prioritize incoming communication for the CEO.
  • Ensure smooth coordination of executive-level tasks with professionalism and discretion.

HR & Office Administration

  • Assist with state registrations and compliance-related tasks.
  • Manage in-person office administration duties such as collecting mail, scanning documents, and making photocopies.
  • Maintain office supplies inventory and ensure the workspace remains organized.
  • Optional: Support with culture and team building events.

Finance & Administrative Support

  • Follow up on Accounts Receivable (AR) with clients to ensure timely payments.
  • Deposit customer collection cheques as needed.
  • Coordinate with internal staff to gather monthly expense receipts.
  • Process benefits reimbursements.
  • Pull invoices.

What We’re Looking For

  • Proven experience in an administrative or executive assistant role.
  • Exceptional organizational skills with a love for creating order out of chaos.
  • Ability to take initiative, solve problems independently, and adapt to changing priorities.
  • Strong communication skills (both written and verbal).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
  • Is required to be in office at least 3-days per week
  • Must have access to a car, for occasional commuting to Winnipeg office
