Service Administrative Coordinator (Remote: LA, MS, OK, TX, AR, TN, MO, IL, KS, NE, IA, WI, MN, ND, SD, AL)

Belimed is a leading supplier of medical and surgical instrument sterilization, disinfection, and cleaning products and services. Headquartered in Zug, Switzerland, with over 50 years of history, we operate in 9 countries and are represented in over 80 countries through a strong network.

Your Tasks

As a Service Administrative Coordinator, you will coordinate field service resources to deliver exceptional service to all Belimed customers in your assigned zones. You will play a key role in transitioning the service organization to an active dispatch strategy and developing the supporting processes.

You will assist field service with part identification, order processing, and maintenance of technicians’ stock. Additionally, you'll audit completed work orders and maintain the service database by updating customer accounts and equipment information.

You will collaborate with other Service Administrative Coordinators, sharing responsibilities for weekly on-call rotations, including nights, weekends, and holidays. Occasional travel (1-2 times per year) to our US headquarters for training and team development is also part of the role.

How You Will Impact Belimed and Our Clients
  • Receive and evaluate trouble calls from customers and field technicians via phone and email.
  • Provide first-level technical support to customers and field personnel, assisting with identification, evaluation, and resolution of service and operational issues.
  • Escalate complex issues to Level II technical support and leadership as needed.
  • Process dispatches for on-site support, including collecting equipment info, checking warranty/contract status, and payment info.
  • Escalate missing warranty/contract data to the Account Support Coordinator team.
  • Communicate service information and coordinate with technicians to ensure service commitments are met.
  • Schedule and update customers on service requests and maintenance.
  • Maintain technician schedules, including work, vacation, and time off.
  • Provide clients with information on equipment, contract coverage, costs, and history.
  • Manage customer expectations professionally.
  • Assist internal teams with part orders and provide accurate part info and delivery times.
  • Research part documentation and communicate issues promptly.
  • Support inventory control and conduct yearly audits.
  • Audit work orders for technical completeness and resolve data issues from reports.
What You Need to Succeed
  • High school diploma/GED or equivalent.
  • At least 2 years of customer service/administrative experience in a B2B or field service environment.
  • 1-2 years of experience with parts departments or related customer service.
  • Experience with detailed data entry, contracts, and billing.
  • Innovative, flexible, and able to work in a matrix environment.
  • Excellent communication skills, both verbal and written, with extensive phone work.
  • Proven success in collaborative, cross-functional teams.
  • Strong planning, scheduling, organizational, and time management skills.
  • Proficiency in MS Office Suite and familiarity with communication and database software.
  • Strong analytical and problem-solving skills, active listening, and comprehension.
  • Basic web-based program knowledge for equipment status and process application.
  • Ability to resolve problems, research data, and draw conclusions.
  • Willingness to rotate shifts and provide on-call support during nights, weekends, and holidays.
  • Ability to travel to US headquarters 1-2 times per year.
