About The Role
The role is the operational engine behind senior leadership at a fast-growing technology company: managing executive calendars, communications, and cross-functional coordination so leaders can stay focused on product, customers, and growth.
This is a high-trust, high-throughput position. The successful candidate will anticipate needs before they're raised, keep multiple executives' priorities organized, and serve as a connective hub for a distributed, remote-first team.
Key Responsibilities
- Manage complex, evolving calendars for 2-3 senior executives, resolving conflicts and protecting focus time across multiple time zones
- Coordinate domestic and international travel end-to-end, including flights, lodging, ground transport, and visa or expense documentation
- Draft, triage, and prioritize high-volume email and Slack communications on behalf of executives, flagging items that need immediate attention
- Plan and execute leadership meetings, board materials, all-hands, offsites, and team events from agenda to logistics to follow-up
- Track action items across stakeholders, chase loose ends, and maintain organized systems for docs, contracts, and records in Google Workspace and Notion
- Process expense reports, invoices, and light procurement using tools like Expensify or Ramp
- Handle sensitive personnel, financial, and business information with absolute discretion
What We Are Looking For
- 3-6 years of executive assistant, chief-of-staff, or office management experience supporting C-level or VP-level leaders
- Expert command of Google Workspace, Slack, Zoom, and calendar management at scale; familiarity with Notion, Asana, or Confluence
- Demonstrated ability to juggle competing priorities from multiple executives without dropping detail
- Excellent written and verbal communication, including drafting polished correspondence on behalf of leadership
- Proven track record handling confidential information with sound judgment
- Bachelor's degree or equivalent practical experience
- Bonus: experience at a startup or venture-backed company; event planning for offsites or conferences; familiarity with expense and procurement tooling
