Job summary

Quay Group is seeking a Senior Executive Assistant to support a C-Suite executive in a fast-paced, high-trust environment in Dallas, TX. This role goes beyond calendar tasks, acting as a trusted partner to keep priorities, meetings, travel, and projects organized and moving forward.

The ideal candidate will be exceptionally organized, proactive, and capable of handling sensitive information with integrity. 7+ years of senior EA experience and strong MS Office skills are required for success in

Qualifications

  • 7+ years of high-level Executive Assistant experience.
  • Experience supporting C-suite, Partners, CIOs or equivalent senior leadership.
  • Excellent organizational skills and meticulous attention to detail.
  • Outstanding calendar and travel management capabilities.

Responsibilities

  • Take complete ownership of a complex, high-volume executive calendar.
  • Prioritize meetings and commitments, protecting the executive's time.
  • Coordinate sophisticated domestic and international business travel.
  • Prepare the executive for meetings, including agendas and materials.
  • Attend meetings, take notes, and ensure action items are followed through.
  • Track ongoing projects, priorities and deliverables.
  • Coordinate with senior executives, investors and internal stakeholders.
  • Anticipate requirements and proactively resolve issues before they reach the executive.
  • Prepare correspondence, documents, presentations and spreadsheets as required.
  • Handle highly sensitive information with absolute discretion.
  • Provide limited personal administrative support where required.
  • Collaborate with the EA team.

Senior Executive Assistant to C Suite Executive - Dallas, TX

Salary: DOE – Flexibility for an exceptional candidate

Schedule: Full-time, on-site

Quay Group is partnering with a highly successful, established investment firm in Dallas to appoint an exceptional Senior Executive Assistant to support a C Suite Executive .

This is a high-trust, high-visibility position supporting an extremely senior investment executive in a sophisticated, fast-paced environment.

We are looking for an EA who is exceptionally organized, intellectually sharp, polished, and proactive. The successful candidate will be someone who naturally anticipates what is coming next, exercises excellent judgment, and takes complete ownership of ensuring their executive's professional life runs seamlessly.

This is not simply a calendar and travel role. The EA will act as a trusted partner to the executive, keeping priorities, meetings, travel, projects, and follow-up organized and moving forward.

Key Responsibilities
  • Take complete ownership of a complex, high-volume and constantly evolving executive calendar
  • Prioritize meetings and commitments effectively, protecting the executive's time and ensuring appropriate preparation
  • Coordinate sophisticated domestic and international business travel
  • Prepare the executive for meetings, including agendas, materials and relevant information
  • Attend meetings when required, take detailed notes and ensure action items are captured and followed through
  • Track ongoing projects, priorities and deliverables
  • Coordinate closely with senior executives, investors, intermediaries and internal stakeholders
  • Anticipate requirements and proactively resolve issues before they reach the executive
  • Prepare correspondence, documents, presentations and spreadsheets as required
  • Handle highly sensitive business and personal information with absolute discretion
  • Provide a limited degree of personal administrative support where required
  • Work collaboratively with the firm's wider Executive Assistant team
Candidate Profile

We are looking for an experienced, career Executive Assistant who has supported senior executives within a highly demanding professional environment.

Candidates coming from hedge funds, private equity, investments, asset management, investment banking or other sophisticated financial services environments will be particularly relevant.

You will ideally offer:
  • 7+ years of high-level Executive Assistant experience
  • Experience supporting C-suite, Partner, CIO, investment professional or equivalent senior leadership
  • A strong academic background; bachelor's degree preferred
  • Exceptional organizational skills and meticulous attention to detail
  • Outstanding calendar and travel management capabilities
  • Strong written and verbal communication skills
  • Confidence interacting with senior executives and high-level external stakeholders
  • Excellent judgment and the ability to prioritize independently
  • A highly proactive approach – someone who genuinely stays two steps ahead
  • Strong Microsoft Office skills, particularly Outlook and Excel
  • Absolute discretion, integrity and professionalism
  • A collaborative, low-ego approach and genuine willingness to help with whatever is required
