Responsibilities

  • Calendar and Schedule Management: manage complex, high‑volume calendars, prioritize meetings, and resolve conflicts.
  • Travel and Logistics: coordinate domestic and international travel for the CEO and senior staff, including flights, lodging, transportation, and itineraries.
  • Communication Management: act as primary contact, screen emails/phone calls, and draft CEO correspondence.
  • Document Preparation: create, edit, and format reports, memos, spreadsheets, and presentations for meetings.
  • Meeting Coordination: organize quarterly and senior staff meetings, take minutes, and follow up on action items; assist HR with trainings.
  • Confidentiality and Discretion: handle sensitive information with high discretion.
  • Administrative Support: reconcile expenses, file documents, order supplies, and prepare expense reports.
  • Maintain a daily calendar of meetings and events for senior staff; support check-ins.
  • Prepare Word, Excel, PowerPoint documents, agendas, and reports for organizational objectives.
  • Screen calls, take accurate messages, gather information, and route non-routine requests as needed.
  • Research and information gathering to support executive time management.
  • Complete ad hoc projects, including personal events when assigned.
  • Gatekeeping: prioritize incoming requests to protect CEO's time.

Job description

The Executive Assistantprovideshigh-level administrative supportprimarilyto the CEO, secondarilyto theCamgianSenior Staff members, and tertiary to the corporate office. Reporting directly to the CFO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to senior management teams; organizes and coordinates executive outreach and externalrelations efforts, andoversees special projects. The Executive Assistant must be creative and enjoy workingin a fast-pacedenvironment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability tomaintaina realistic balance among multiple priorities. This is an on-site position based out of our Corporate Headquarters in Starkville, MS.

Key Responsibilities:
  • Calendar and Schedule Management:Managing complex, high-volume calendars, prioritizing meetings, and resolving scheduling conflicts to maximize executive efficiency.
  • Travel and Logistics:Coordinating domestic and international travelfor the CEO, and senior staff members where needed. Travelincludesflights, accommodation, transportation, andpostingitinerarieson calendars.
  • Communication Management:Acting as the primary point of contact, screening emails and phone calls, and drafting correspondence on behalf of theCEO.Must have excellent communication and time management skills; proven ability to meet deadlines.
  • Document Preparation:Creating, editing, and formatting reports, memos, spreadsheets, and presentations for meetings.
  • Meeting Coordination:Organizingcompany quarterlymeetings,senior staff meetings, andthe company Launch each year, including taking minutes and following up on action itemswhererequired.AlsoassistingHR with coordinating scheduled training.
  • Confidentiality and Discretion:Handling sensitive company, financial, and personnel information with high discretion.
  • Administrative Support:
  • Reconcilingexpenses, filing documents, ordering supplies,and preparing expense reports for the CEO.
  • Sustain a daily calendar of meetings and events for senior staff check-in meetings.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, specialprojectsand other documents in support ofobjectivesfor the organization.
  • Screen incoming telephone calls; take and deliveraccuratemessages; respond to requests by gathering and providinginformation,andreferring non-routine calls to theappropriatepersonnel.
  • Conserve the Executive's time by reading, researching,collectingand analyzing information as needed, in advance.
  • Completeadhocprojects as assigned - such as personal events and/or family needs.

Skills and Qualifications:
  • Bachelor's degreerequired
  • 5+ years of related experiencerequiredin working in an executive assistant roleand/orsupportingmultipleexecutives.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Working knowledge of MS Forms, SharePoint,Teams,and OneDrive a plus
  • Ability to communicate effectively and professionally.
