Executive & Personal Assistant to the CEO
Rancher Hat Bar is seeking a highly organized, proactive, and trustworthy Executive & Personal Assistant to directly support the CEO, while also providing daily support to the COO and the Director of Operations. This individual will help manage a fast-paced professional and personal schedule, anticipate needs, keep priorities organized, and take ownership of tasks from start to finish. The ideal candidate is resourceful, detail-oriented, discreet, and comfortable working in an environment where priorities can change quickly.
Responsibilities
- Manage the CEO’s calendar, meetings, appointments, and daily schedule
- Coordinate business and personal travel, including flights, hotels, transportation, and itineraries
- Manage reminders, follow-ups, reservations, appointments, and important deadlines
- Assist with emails, communications, documents, and special projects
- Handle personal tasks, errands, purchases, and scheduling as needed
- Provide daily support to the COO, including assisting with emails, follow-ups, personal errands, scheduling, and day-to-day tasks
- Provide occasional administrative and operational support to the Director of Operations as needed
- Coordinate with executives, employees, vendors, and outside contacts on behalf of the CEO and executive team
- Help ensure important emails, requests, and action items are followed through to completionAnticipate needs and proactively solve problems before they reach the CEO or executive team
- Maintain complete discretion with confidential business and personal information
- Help keep the CEO organized, prepared, and focused on the highest-priority responsibilities
- Assist with additional business or personal needs as they arise in a rapidly growing company
- Must be able to manage multiple people at one time, experience assisting multiple C‑Suits is preferred but not required.
Qualifications
- Previous Executive Assistant, Personal Assistant, or similar high-level administrative experience preferred
- Exceptional organization, time management, and attention to detail
- Strong written and verbal communication skills
- Ability to multitask and prioritize in a high-pressure, fast-moving environment
- Highly proactive, resourceful, and comfortable working independently
- Strong problem-solving skills and a “figure it out” mentality
- Ability to successfully support multiple executives while understanding changing priorities
- Flexible and willing to assist outside of traditional administrative responsibilities when needed
- Professional, dependable, and extremely trustworthy
- Must maintain a high level of confidentiality and discretion
