Our client, an established award-winning media group is seeking a c-level Executive Assistant.
This role serves as the right hand support to the CEO, managing priorities, facilitating communication, coordinating key initiatives, and ensuring the smooth operation of the Executive Office. The Executive Assistant will handle sensitive, confidential, strategic, and proprietary information and serve as a primary representative of the Office of the President & CEO, this position interfaces with Board of Directors, senior leadership, donors, government officials, community leaders, and external stakeholders.

Responsibilities:
- Manage and prioritize the President/CEO's complex calendar, appointments, meetings, travel, conferences, and special events, ensuring alignment with organizational priorities.
- Anticipate the President/CEO's needs by proactively identifying scheduling conflicts, preparing materials, and coordinating follow-up actions.
- Coordinate all travel arrangements, including transportation, lodging, itineraries, and related logistics.
- Draft, edit, proofread, and prepare correspondence, reports, presentations, speeches, briefing materials, and other communications on behalf of the President/CEO.
- Screen and prioritize incoming communications, correspondence, and requests, exercising independent judgment regarding appropriate action and response.
- Manage the President/CEO's office operations, records, and files while ensuring the highest level of confidentiality and data security.
- Serve as a liaison between the President/CEO, Board members, senior leadership, and key stakeholders.
- Assist in preparing presentations, reports, and supporting materials for Board meetings, fundraising activities, strategic planning sessions, and executive leadership meetings.
- Maintain professional communication with Board members and other high-level stakeholders.
- Coordinate special projects and strategic initiatives on behalf of the President/CEO, tracking deliverables, deadlines, and outcomes.
- Build and maintain positive working relationships with donors, community leaders, government officials, business partners, and external constituents.
- Represent the Office of the President/CEO with professionalism, discretion, and sound judgment.
- Assemble and organize materials required for meetings, presentations, and executive decision-making.
- Maintain records, reports, and documentation related to executive office activities.
- Perform other duties and special assignments as required to support the President/CEO and organizational objectives.
Qualifications:
- 10 years of executive administrative experience supporting a CEO, President, C-suite executive.
- Experience supporting a Board of Directors and executive leadership team strongly preferred.
- Exceptional organizational, planning, and project management skills with the ability to manage multiple priorities and competing deadlines.
- Strong critical thinking, problem-solving, and decision-making abilities.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to build effective relationships and work collaboratively with individuals at all organizational levels as well as external stakeholders.
- Proven ability to work independently and anticipate needs.
