We are seeking a seasoned and highly skilled Executive Assistant to provide strategic support to a dynamic C-level executive at a leading private equity firm. The Executive Assistant will play a pivotal role in ensuring the seamless orchestration of the executive’s daily operations, acting as a strategic partner and trusted liaison between the C-suite and key internal and external stakeholders, including portfolio company leadership, investors, and board members. The ideal candidate excels under pressure in a high-performance, fast-paced environment, combining impeccable discretion, executive presence, and anticipatory problem-solving with elite organizational and communication skills.
Key Responsibilities
- Strategically manage an ever-evolving, high-volume calendar across multiple time zones, balancing internal meetings, investor calls, board sessions, diligence meetings, and personal obligations. Anticipate conflicts, proactively resolve scheduling challenges, and ensure optimal use of the executive’s time.
- Plan, book, and manage all aspects of domestic and international travel. This includes preparing detailed, multi-leg itineraries, securing visas when necessary, coordinating ground transportation, and ensuring seamless transitions between meetings and locations. Provide 24/7 support during travel if issues arise.
- Coordinate logistics for high-stakes meetings with internal teams, portfolio company leadership, and external stakeholders. Prepare briefing materials, agendas, and pre-read documents; manage follow-ups and ensure all participants are aligned on objectives and action items.
- Serve as the primary point of contact between the executive and a range of audiences, including limited partners (LPs), investment teams, board members, founders, and advisors. Ensure clear, timely, and professional communication that reflects the executive’s voice and priorities.
- Handle highly sensitive information with the utmost discretion. Maintain and organize confidential files, NDAs, investor documents, and board materials. Be a trusted partner in managing strategic information flow.
- Track deadlines, deliverables, and action items related to active deals, board responsibilities, and internal initiatives. Work cross-functionally with investment, operations, and legal teams to ensure timely execution and follow-through.
- Prepare and submit monthly expense reports, reconcile corporate credit card statements, and manage vendor invoices and reimbursements following firm policies. Monitor and manage executive subscriptions, memberships, and recurring administrative obligations.
- Provide personal support as needed, personal appointments, travel, and scheduling. Maintain a proactive mindset to identify areas where their workload can be alleviated professionally and personally.
- Act as an ambassador of the executive’s office, setting a tone of professionalism, approachability, and efficiency. Collaborate closely with other assistants, team leads, and administrative staff to support firm-wide initiatives and maintain a positive work environment.
Ideal Experience
- 7+ years of executive assistant experience, preferably supporting a C-suite executive in finance, private equity, or professional services.
- Proven ability to operate with utmost discretion and sound judgment.
- Exceptional written and verbal communication skills.
- Highly proficient in Microsoft Office Suite and current productivity tools.
- Strong project management skills and the ability to multitask under pressure.
- Polished, proactive, resourceful, and emotionally intelligent.
