Harmer has been engaged by our client in their search for an Executive Assistant. This is an exciting opportunity to join a growing, entrepreneurial company in the Energy Corridor and work closely with senior executive leadership as the organization continues to scale.

We are looking for a polished, highly organized and proactive EA who thrives in a fast-paced environment, takes ownership, and stays one step ahead. This person will provide high-level executive support while also assisting with office operations, special projects and broader administrative initiatives.

Key Responsibilities
  • Manage complex executive calendars, meetings and scheduling
  • Coordinate domestic and international travel, including itineraries, flights, hotels, ground transportation and schedule changes
  • Manage expenses, receipts and related reporting
  • Prepare meeting agendas, materials, presentations, logistics and follow-up items
  • Draft and coordinate executive-level correspondence and communications
  • Track priorities, action items and deliverables to ensure follow-through
  • Handle confidential business and personnel information with discretion
  • Support office operations, vendors, visitors, supplies and workplace organization
  • Coordinate leadership meetings, company events and employee activities
  • Support special projects, research and cross-functional initiatives
  • Identify opportunities to leverage technology and improve administrative processes and workflows
Qualifications
  • 5+ years of experience supporting senior executives, C-suite leaders or executive leadership teams
  • Experience managing complex calendars, meetings, domestic and international travel, expenses and confidential information
  • Highly organized with strong prioritization, attention to detail and the ability to manage competing priorities
  • Proactive, resourceful and able to anticipate needs and take ownership
  • Strong executive presence and professional written and verbal communication skills
  • Adaptable, composed and comfortable supporting direct, fast-moving executives
  • Advanced Microsoft Office skills; experience with tools such as Copilot, OneNote and AI is a plus
  • Experience supporting office operations, events or special projects is strongly preferred
  • Must be comfortable working 100% on-site in the Energy Corridor / West Houston area
