Position Overview
We are seeking a highly organized, detail-oriented Executive Assistant to support executive leadership in a fast-paced real estate development and title insurance environment.
This is a critical role requiring professionalism, discretion, strong customer service skills, and the ability to manage multiple priorities with precision. Real estate development or title experience is a strong plus.
The ideal candidate thrives under pressure, communicates confidently, and anticipates needs before they arise.
Key Responsibilities
- Executive Support
- Manage executive calendar, scheduling, and meeting coordination
- Screen and prioritize emails and phone communications
- Prepare reports, presentations, and correspondence
- Track deadlines and ensure follow-through on key projects
- Assist with strategic planning and administrative organization
- Assist with transaction coordination
- Communicate with lenders, realtors, developers, and underwriters
- Help track files, deadlines, and closing schedules
- Maintain organized digital and physical file systems
- Administration & Office Operations
- Draft professional emails and business correspondence
- Maintain CRM systems and spreadsheets
- Data entry and reporting using Excel
- Customer service support for clients and partners
- Vendor coordination and invoice tracking
- Order supplies and maintain office organization
- Compliance & Documentation
- Assist with document preparation and notarization
- Must be able to obtain a Texas Notary Public commission (or already have one)
- Online Notary certification a plus
- Maintain confidentiality and discretion at all times
Qualifications
- Minimum 3–5 years Executive Assistant experience
- Proficient in Microsoft Office Suite (Excel, Word, Outlook required)
- Comfortable working on Microsoft-based systems
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to multitask in a deadline-driven environment
- Professional demeanor and business maturity
- Reliable daily commute to Houston Galleria area
