Executive Assistant
Location: The Woodlands, Texas (in office)
Reports To: Director
Function: Investments — Deal Team and Asset Management (Administrative)
Level: Experienced administrative professional; bachelor’s degree required
Company Overview
The firm is a private investment and administrative services platform based in The Woodlands, Texas. The firm and its affiliated entities invest across real estate, operating businesses, and public and private securities, and provide accounting, treasury management, and financial reporting support to the entities within the platform.
Position Summary
The Executive Assistant is the administrative backbone of the deal team and its representative to the outside world. The deal team — Director, Associate, and Analyst — sources, underwrites, closes, and then manages the firm’s investments; the Executive Assistant keeps that machine running and is frequently the first voice a broker, banker, attorney, lender, or seller hears from the firm. The role is administrative in classification and front‑of‑house in practice: the Executive Assistant liaises on the deal team’s behalf with external parties whose impression of the firm is formed in those exchanges.
The role suits a polished, well‑educated professional who writes cleanly, speaks confidently with senior counterparties, handles confidential information as a matter of course, and takes pride in being the person who makes sure nothing is dropped.
Key Responsibilities
Deal Team Liaison
- Serve as the first point of contact for brokers, investment bankers, attorneys, accountants, lenders, and sellers’ representatives, and represent the firm with professionalism and discretion in every exchange.
- Manage inbound deal correspondence: log incoming teasers and confidential information memoranda, route them to the Analyst for screening, and issue timely, courteous acknowledgments and declines on the deal team’s behalf.
- Administer the non‑disclosure agreement flow — circulate, track, obtain signatures, and file executed copies — and maintain working‑group lists for each live transaction.
- Schedule management meetings, site visits, diligence calls, and lender meetings across multiple external parties and time zones, and confirm logistics so the deal team walks into rooms that are ready.
- Maintain the firm’s contact database of intermediaries, advisors, and counterparties, and keep relationship records current after each interaction.
Transaction and Process Support
- Support data room administration, including user access, document uploads and indexing, and permission tracking; familiarity with virtual data room platforms such as Datasite is applied here.
- Track critical dates on live transactions — exclusivity periods, diligence deadlines, financing milestones, and closing dates — and keep them visible to the deal team.
- Assemble, format, and proofread outgoing deal materials, including indications of interest, letters of intent, investment memoranda, and closing sets, to a standard fit for external distribution.
- Coordinate signature execution and document delivery at closing, and confirm the executed record is complete and filed.
- Support post‑closing administration, including distribution of closing sets, standing meeting cadences with operating teams, and lender reporting calendars.
Executive and Office Administration
- Manage calendars, travel, and expense reporting for the deal team, anticipating conflicts and protecting time for deep work.
- Prepare agendas and materials for internal investment discussions, record action items, and follow up until each is closed.
- Draft, format, and proofread routine correspondence on the deal team’s behalf in the firm’s voice and on the firm’s letterhead.
- Maintain the deal team’s electronic files in SharePoint according to the firm’s filing and version‑control conventions, so records remain complete, current, and legible to anyone who follows.
- Handle sensitive personal, family, and transaction information with absolute confidentiality.
