Description du poste

Join One of New York’s Leading Government Relations Teams

Ostroff Associates is growing, and we’re looking for an organized, proactive, and highly capable Executive Assistant to join our team. We are one of New York’s leading government relations firms, representing clients across a wide range of industries on some of the most complex legislative, regulatory, budget, and procurement issues facing the state.

But what really defines our firm is our team. We work collaboratively, move quickly, share information, solve problems, and take our responsibility to our clients seriously. We’re looking for someone who wants to do the same — someone who is dependable, professional, comfortable managing competing priorities, and takes pride in helping the people around them succeed.

About the Role

The Executive Assistant provides high-level administrative and organizational support to senior members of the firm and assigned lobbyists. This role requires strong organization, judgment, discretion, and the ability to anticipate needs and keep things moving.

The Executive Assistant will manage calendars, coordinate meetings and travel, support events and presentations, help prioritize competing demands, and serve as a key liaison between lobbyists, staff, clients, and outside contacts.

Job Responsibilities
  • Manage calendars, scheduling, meetings, events, travel arrangements, materials, logistics, and follow-up for assigned lobbyists and senior team members.
  • Serve as a professional liaison to clients, government contacts, visitors, and the public, including handling calls and inquiries with tact and discretion.
  • Support and help manage day-to-day office operations, including handling the main office phone line and visitors, ordering and maintaining office supplies, coordinating mail and deliveries, and working with vendors.
  • Prioritize incoming requests and issues, determine what can be handled independently, and ensure time-sensitive matters receive appropriate attention.
  • Assist with presentations, correspondence, meeting materials, and other internal and external communications.
  • Coordinate with staff to keep projects, meetings, and priorities organized and moving forward, while taking ownership of administrative tasks and special projects that help senior staff stay focused on client priorities.
Qualifications
  • 3+ years of experience as an executive assistant, administrative assistant, office manager, or in a similar role.
  • Excellent organizational, time-management, communication, and attention-to-detail skills.
  • Strong judgment, discretion, and ability to handle confidential information.
  • Ability to manage multiple priorities, anticipate needs, and work independently.
  • Strong problem-solving skills and ability to remain calm and effective when priorities change.
  • Proficiency with Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
What Success Looks Like

In this role, success looks like calendars and meetings that run without surprises, requests from lobbyists that get a fast and reliable response, and priorities that stay clear even when the day changes. It also means confidential information is always handled with care, materials and communications are polished and delivered on time, and the office runs smoothly day to day.

$60,000 – $70,000, commensurate with experience.
