Position Summary
The Executive Assistant will work independently to prioritize administrative tasks in the Fixed Income Group by working with the team's senior professionals and by working with other TCW teams to support departmental efforts. The Executive Assistant will assist with managing schedules coordinating conferences and travel arrangements, organize meetings, and undertake basic reporting tasks. This role has heavy calendaring requirements involving individual as well as group calendars.
The right candidate will be a team player, someone who is proactive in seeking out solutions for potential problems and will, if necessary, insert themselves into any administrative role that comes up. The position requires interface with internal staff at all levels and external parties with a high level of professionalism and adherence to confidentiality. A basic understanding of the investment management industry is desirable.
Essential Duties
Interface with internal and external parties with a high level of professionalism and adherence to confidentiality
- Maintain calendar, schedule and coordinate meetings and conference calls, and track investment professional's whereabouts
- Maintain, correspondence, documents and filing system in a highly organized fashion
- Set up and confirm travel arrangements and organize itineraries; proactively monitor travel schedule and resolve any issues that arise
- Provide back-up administrative support to other administrative assistants
- Prepare and submit expenses reports on a timely basis
- Answer and screen incoming calls, and respond to inquiries as directed
- Research, collect, and analyze information and materials from the internet and other sources
- Prepare correspondence, documents, and spreadsheets
- Prepare/gather/organize materials for meetings and presentations
Required Qualifications
- Bachelor's degree or equivalent combination of education and experience with a minimum of four years of administrative experience
- Strong organizational and time management skills and ability to prioritize well
- Demonstrated ability to multi-task with excellent attention to detail
- Must be reliable, possess good judgment, and demonstrate proactive problem-solving skills
- Professional demeanor with excellent communication and interpersonal skills
- Strong computer and software skills including Microsoft Word, Excel, PowerPoint, and Outlook; Solid typing skills
- Strong phone skills: ability to vet phone calls, direct calls to proper recipients, pick up phones quickly
- Must adhere to strict confidentiality provisions

Estimated Compensation:
Base Salary: For a CA based position, the base salary range is $80k to $100k. This is an anticipated range only.
Other Compensation: Eligible to be considered for an annual discretionary bonus.
