Position Overview

The Executive Assistant to the Dean provides high-level support, ensures smooth office operations, and manages the Dean's complex, confidential, and dynamic calendar. The individual must understand the priorities of both executives to organize issues by urgency and manage scheduled events, travel, and meetings efficiently. The role involves independent investigation of daily issues within the scope of the Dean's engagements, demonstrating good judgment in problem-solving.

Application Review Date

Responsibilities
  1. Schedule Management (40%): Independently schedule all of the Dean's meetings, arrange travel, handle sensitive contacts with discretion, prepare background info, talking points, and briefing materials. Assist in planning meetings and events, understanding the priorities of the Dean and reporting units like DSUS, Berkeley Institute of Data Science, EECS, and Statistics.
  2. System Development (15%): Collaborate with the Chief Administrative Officer to develop and manage systems for information, projects, and communication within the Dean's office.
  3. Gatekeeping (15%): Ensure only relevant issues reach the Dean, responding diplomatically to requests based on current priorities and schedules.
  4. Office Operations (15%): Manage administrative functions for a smoothly operated Dean's Office.
  5. Communication Handling (10%): Respond to inquiries from faculty, staff, students, and the public, forwarding issues as needed, and tracking resolution progress.
  6. Issue Investigation (5%): Investigate and draft responses to urgent issues.
Minimum Qualifications
  • Proficiency with campus-specific and general computer applications and office technology tools.
  • Political acumen and sensitivity to diverse perspectives and circumstances, including internal and external stakeholders.
  • Ability to maintain high discretion and confidentiality.
  • Strong service orientation and effective communication skills across all levels.
  • Ability to multitask under demanding timeframes.
  • Familiarity with campus protocols, processes, and regulations such as FERPA.
  • Advising and counseling skills.
  • Bachelor's degree or equivalent experience/training.
