Our client, a rapidly growing independent wealth management firm, is seeking an exceptional Executive Assistant / Office Operations Manager to become the right hand to the CEO while serving as a key operational leader for the organization. This is a highly visible role for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and wants the opportunity to grow into a broader leadership position as the firm continues to expand.

The successful candidate will partner closely with the CEO, helping manage both professional and select personal priorities while ensuring the office, administrative team, and overall workplace operate efficiently every day. Over time, this individual will have the opportunity to take on increasing responsibility for the firm's internal operations, becoming an indispensable business partner to senior leadership.

What You'll Be Doing

Executive Partnership

  • Serve as the CEO's trusted administrative partner, managing a dynamic calendar, coordinating meetings, and anticipating priorities before they arise.
  • Coordinate complex travel arrangements, schedules, and logistics for the CEO and other senior leaders.
  • Prepare correspondence, presentations, reports, and other confidential materials while exercising the highest level of professionalism and discretion.
  • Act as a liaison between the CEO, employees, clients, and outside partners, ensuring exceptional communication and follow-through.
  • Assist with occasional personal projects and administrative needs that allow the CEO to remain focused on growing the business.
  • Take ownership of the day-to-day operations of the office, creating an organized, professional, and welcoming environment for employees and visitors alike.
  • Help oversee administrative workflows, ensuring priorities are managed effectively and projects are completed on schedule.
  • Coordinate vendors, building services, office technology, maintenance, supplies, and other operational functions that keep the business running smoothly.
  • Support internal meetings, employee events, and occasional client-facing activities while continually identifying opportunities to improve efficiency.

Building & Facilities Coordination

  • Serve as the primary contact for building operations across a multi-tenant property, maintaining strong relationships with tenants, contractors, and service providers.
  • Coordinate tenant communications, maintenance requests, vendor access, and general property logistics.
  • Manage scheduling and coordination of rentable meeting spaces while ensuring rooms are professionally maintained and client ready.
  • Track ongoing facilities projects and coordinate with outside professionals when specialized expertise is required.

What We're Looking For

  • 5+ years of experience supporting executives, managing office operations, or leading administrative functions within a professional services environment.
  • Outstanding organizational skills with the ability to manage multiple competing priorities while maintaining exceptional attention to detail.
  • Strong judgment, discretion, and professionalism when handling confidential information.
  • Excellent interpersonal and communication skills with a proactive, service-oriented minds
  • Comfortable working with Microsoft Office, Google Workspace, CRM systems, and other business technology.
  • Experience coordinating vendors, facilities, or building operations is a strong plus.
  • Must reside in (or be willing to commute to) the Inland Empire.
