C-SUITE ASSISTANTS is seeking a Senior Executive Assistant to serve as a strategic partner and trusted advisor to the CEO. The role involves close work with the Executive Leadership Team, managing Board relationships, and ensuring organizational alignment across a large global organization.

Relocation assistance is available. Standard business hours are on-site in the San Diego office five days a week, with occasional after-hours availability as needed.

  • Significant Board experience, including Board relationships, meeting coordination, and governance-related support

Job description

A large, global organization is seeking an exceptional Senior Executive Assistant to serve as a strategic partner and trusted advisor to the CEO. This is a highly visible role for an accomplished executive support professional who understands how complex organizations operate and is comfortable working at the highest levels of executive leadership.

This position extends well beyond traditional executive support. The Senior Executive Assistant will work closely with the CEO and Executive Leadership Team, manage key Board relationships, facilitate alignment across the organization, and exercise significant independent judgment on behalf of the CEO. The ideal candidate brings exceptional business acumen, executive presence, and discretion, with the ability to anticipate issues, influence outcomes, and determine what requires the CEO's attention versus what can be delegated or handled independently. About the Job:
  • Serve as a strategic partner and trusted advisor to the CEO, developing a deep understanding of business priorities, leadership dynamics, and organizational objectives
  • Work closely with the Executive Leadership Team to coordinate priorities, facilitate communication, and help ensure alignment and execution across the organization
  • Serve as a primary point of contact for the Board of Directors, building trusted relationships and overseeing Board communications, meeting planning, materials, logistics, and follow-up
  • Exercise sound judgment regarding executive access, priorities, escalation, and delegation, proactively resolving issues before they reach the CEO whenever appropriate
  • Represent the CEO professionally with senior executives, Board members, and other high-level external stakeholders
  • Manage the CEO's complex calendar and priorities, strategically protecting executive time while ensuring appropriate access to key internal and external stakeholders
  • Coordinate complex domestic and international travel, speaking engagements, executive meetings, and external commitments, including detailed logistics and contingency planning
  • Prepare executive briefings, reports, presentations, agendas, and other materials by gathering and synthesizing information from across the organization
  • Coordinate Executive Leadership Team meetings and other key leadership forums, including agendas, materials, action items, and follow-through
  • Maintain visibility into key decisions, commitments, and organizational priorities to ensure continuity and timely execution
  • Build strong relationships across functions, geographies, and levels of the organization, serving as a connector and trusted resource for executive leadership
  • Partner with executive support colleagues to share best practices and promote operational excellence
  • Identify opportunities to improve executive workflows, administrative processes, communication, and organizational efficiency
  • Manage highly sensitive business, Board, personnel, and executive information with exceptional discretion and adherence to corporate governance standards
  • Oversee executive expenses, select administrative projects, meetings, events, and other operational requirements as needed

About You:
  • 10+ years of progressive executive support experience, including at least five years supporting C-suite executives; current or very recent direct CEO support experience strongly preferred
  • Demonstrated success supporting a CEO within a large, complex, global organization
  • Significant Board experience, including Board relationships, meeting coordination, executive communications, and governance-related support
  • Strong business acumen and enterprise perspective with the ability to understand organizational priorities and connect initiatives across functions and leadership teams
  • Exceptional judgment and decision-making skills with demonstrated ability to determine when to act independently, elevate, delegate, or redirect
  • Executive presence and confidence interacting with Board members, senior executives, and other high-level external stakeholders
  • Highly strategic and anticipatory, with the ability to think like a Chief of Staff while executing with the precision and attention to detail of a world-class Executive Assistant
  • Exceptional relationship-building and influencing skills with the ability to establish credibility across all levels of a global organization
  • Outstanding written and verbal communication skills with experience preparing polished executive-level materials and correspondence
  • Highly organized, resourceful, and resilient with the ability to manage complex and competing priorities in a fast-paced environment
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint; experience with expense management platforms
  • Familiarity with AI-enabled productivity tools and an interest in leveraging emerging technology to enhance executive effectiveness is a plus
  • Bachelor's degree preferred or equivalent professional experience

Standard business hours (Monday–Friday), on-site in the San Diego office five days per week; occasional availability outside of business hours as needed.
