Responsibilities

  • Manage a complex and evolving executive calendar, including meetings and priorities.
  • Coordinate domestic travel, accommodations, itineraries, reservations and logistics.
  • Prepare the CEO for meetings with organized materials and details.
  • Manage correspondence, follow-ups, and other administrative priorities.
  • Coordinate internal and external meetings with clients, partners, team members and stakeholders.
  • Anticipate needs and proactively solve scheduling or logistical issues.
  • Assist with personal scheduling and errands to keep the CEO focused on business.
  • Handle sensitive information with exceptional judgment and discretion.
  • Serve as a polished point of contact on behalf of the CEO.
  • Partner with the broader team to keep priorities on track.
  • Take ownership of special projects and additional responsibilities.

Job description

A highly regarded and growing wealth management firm in Buffalo, NY, is seeking an experienced Executive Assistant to the CEO to serve as a trusted partner and provide high-level executive, administrative, and day-to-day support.

This is a highly visible role for someone who is exceptionally organized, proactive, polished, and comfortable operating in a fast-paced environment where priorities can shift quickly. The Executive Assistant will work closely with the CEO and play an important role in ensuring their time, schedule, communications, travel, and priorities are managed seamlessly.

What You’ll Do
  • Manage a complex and evolving executive calendar, including meetings, appointments, and scheduling priorities
  • Coordinate domestic travel, accommodations, itineraries, reservations, and related logistics
  • Prepare the CEO for meetings by ensuring necessary information, materials, and details are organized in advance
  • Manage correspondence, communications, follow-ups, and other administrative priorities
  • Coordinate internal and external meetings with clients, business partners, team members, and other stakeholders
  • Anticipate needs, identify potential scheduling or logistical issues, and proactively solve problems
  • Assist with occasional personal scheduling, reservations, errands, and other day-to-day needs that allow the CEO to remain focused on the business
  • Handle sensitive and confidential information with exceptional judgment and discretion
  • Serve as a professional and polished point of contact on behalf of the CEO
  • Partner with the broader team to ensure priorities and commitments remain organized and on track
  • Take ownership of special projects and additional responsibilities as needs arise
