A well-established Boston professional services firm is seeking a proactive Executive Assistant to support the Chief Administrative Officer and provide high-level administrative and operational support to the firm's partnership and governance functions.
This is a high-visibility opportunity for an experienced Executive Assistant who enjoys working independently, anticipating needs, managing confidential information, and partnering with senior leadership to keep complex administrative functions organized and moving forward.
What You'll Do
- Provide high-level administrative and operational support to the Chief Administrative Officer, Management Committee, and Partnership.
- Own the full meeting lifecycle for leadership, Management Committee, and Partnership meetings, including scheduling, agenda development, materials preparation, distribution, and follow-up.
- Partner with senior leadership to develop thoughtful agendas, prioritize topics, and ensure meetings run efficiently.
- Compile, edit, organize, and distribute highly confidential meeting materials.
- Track action items and follow through with partners and functional leaders to ensure completion.
- Draft, edit, and proofread communications on behalf of senior leadership, including writing in another executive's voice.
- Manage sensitive correspondence and confidential information with exceptional discretion and judgment.
- Maintain governance calendars, including partner and committee meetings and partnership votes.
- Manage documents and materials within a document management system, ensuring appropriate version control, access, and retention.
- Identify administrative and operational gaps and proactively recommend improvements.
- Provide occasional scheduling and administrative support to Director-level professionals and assist with other firm-wide administrative needs.
What We're Looking For
- Bachelor's degree required.
- 4+ years of executive-level administrative experience, with 7–10+ years of progressive experience strongly preferred.
- Experience supporting senior executives, partners, boards, or other high-level leadership.
- Background in law, professional services, financial services, wealth management, or a similarly professional environment preferred.
- Experience preparing materials and taking minutes for partner-, board-, or executive-level meetings.
- Exceptional written communication, editing, and proofreading skills.
- Demonstrated ability to handle highly confidential and sensitive information with discretion.
- Strong organizational skills and the ability to manage competing priorities in a fast-paced environment.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Experience with document management systems and modern collaboration tools.
- Notary Public certification or willingness to obtain is preferred.
