Job summary

Resources for Human Development (RHD) seeks an Executive Administrative Assistant in Philadelphia, PA to support the Executive Leadership Team. This full-time role involves managing calendars, coordinating complex scheduling, preparing agendas and minutes, and drafting executive communications with discretion.

The ideal candidate will have strong organizational and time-management skills, experience supporting multiple executives, and proficiency with Microsoft Office.

Qualifications

  • Minimum of five years’ executive administrative support experience.
  • Experience supporting multiple executives simultaneously.
  • Strong verbal and written communication skills.
  • Advanced proficiency with MS Office (Outlook, Word, Excel, PowerPoint).
  • Ability to maintain confidentiality and exercise sound judgment.

Responsibilities

  • Provide administrative support to Executive Leadership Team.
  • Manage complex calendars, scheduling, and meetings.
  • Prepare agendas, materials, and minutes.
  • Draft correspondence, reports, and executive communications.
  • Coordinate travel arrangements and events.
  • Serve as liaison between executives and departments.
  • Track deadlines and follow-up actions.
  • Support board and committee activities as assigned.
  • Assist with special projects and leadership meetings.

What You'll Do
  • Provide administrative support to multiple members of the Executive Leadership Team
  • Manage complex calendars, scheduling, and meeting coordination
  • Prepare meeting agendas, materials, and meeting minutes
  • Draft and prepare correspondence, reports, presentations, and executive communications
  • Maintain confidential and sensitive information with professionalism and discretion
  • Coordinate travel arrangements, conference registrations, and executive events
  • Serve as a liaison between executives, departments, community partners, and external stakeholders
  • Track deadlines, action items, and follow-up activities to ensure timely completion
  • Support board and committee activities as assigned
  • Assist with special projects, leadership meetings, retreats, and organizational initiatives

QualificationsRequired
  • Associate's degree or an equivalent combination of education and experience
  • Minimum of five (5) years of executive administrative support experience
  • Experience supporting multiple executives simultaneously

  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Ability to manage multiple priorities and meet deadlines
  • Demonstrated ability to maintain confidentiality and exercise sound judgment
Preferred
  • Bachelor's degree
  • Experience within a nonprofit, healthcare, human services, behavioral health, or IDD organization
  • Experience supporting executive leadership teams or board-level activities
  • Familiarity with project management and meeting management tools
Schedule
  • Full-Time Position
  • Primarily weekday business hours
  • Occasional flexibility may be required to support meetings, events, and executive schedules
  • Position based in Philadelphia, Pennsylvania
Physical Requirements
  • Ability to sit, stand, bend, reach, and use office equipment throughout the workday
  • Ability to lift up to 50 pounds when necessary
  • Ability to travel locally as needed
  • Ability to perform essential job functions with or without reasonable accommodation
