POSITION PURPOSE
The Executive Administrative Assistant to the Executive Director provides high-level administrative, organizational, and operational support. This role helps ensure the ministry operates with excellence, intentionality, and a high level of care while supporting the vision, priorities, relationships, events, and projects.
WORK SCHEDULE
Full-time, 40 hours
PRIMARY RESPONSIBILITIES
Executive Support
- Provide proactive administrative support to the Executive Director
- Coordinate calendars, meetings, appointments, and ministry priorities.
- Prepare meeting agendas, notes, follow-up items, and action plans.
- Anticipate needs and proactively communicate important deadlines, decisions, and next steps.
- Handle sensitive and confidential information with discretion and integrity.
Ministry Operations
- Coordinate the administrative systems and processes that support ministry initiatives.
- Maintain project timelines, task lists, and ministry priorities using digital/ AI organizational tools.
- Help coordinate ministry events, gatherings, meetings, and special projects from planning through execution.
- Assist with preparation of ministry communications, reports, presentations, resources, and leadership materials.
- Support the development and maintenance of resources
Relationship Support
- Help create a high-touch, intentional experience for ministry partners.
- Assist with partner communications, invitations, follow-up, appreciation, and special gatherings.
Project & Event Coordination
- Coordinate logistics for meetings, gatherings, conferences, and special events.
- Work with internal teams and external partners to ensure details are communicated and executed well.
- Track deadlines, responsibilities, and deliverables across multiple projects.
- Assist with venue logistics, food and beverage coordination, guest communication, materials, and event-day details.
- Provide follow-through after events to ensure action items are completed.
QUALIFICATIONS & SKILLS
- Demonstrated experience providing executive-level administrative support.
- Strong organizational and project-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Ability to anticipate needs, take initiative, and work independently.
- Strong attention to detail and follow-through.
- Ability to handle confidential information with wisdom and discretion.
- Proficiency with Google Workspace, Monday.com, Ramp, and other administrative technology is preferred.
- Strong interpersonal skills and the ability to build positive relationships with staff, ministry leaders, and members.
- Ability to work in a fast-paced, ministry-focused environment while maintaining a calm, flexible, and solutions-oriented approach.
