Responsibilities

HUMAN RESOURCES GENERALIST

Position Purpose

The HR Coordinator is a key member of the Human Resources team, supporting the Executive Director and Associate Director while independently managing essential HR processes. The role focuses on creating an excellent employee experience through accurate, timely, and people-centered administration of pre-onboarding, HRIS, compliance, and benefits. The Coordinator brings strong attention to detail, a people-focused approach, and a commitment to continuous improvement. The role leverages AI, automation, and technology to streamline processes, improve accuracy, reduce repetitive work, and enhance HR support. The Coordinator owns defined HR processes while escalating employee relations, complex policies, investigations, disciplinary decisions, accommodations, and other judgment-intensive matters to HR leadership.

Primary Responsibilities

Pre-Onboarding & New Hire Administration

  • Own the pre-onboarding process from acceptance of an offer through the employee’s first day.
  • Serve as the primary HR contact for incoming employees during pre-onboarding.
  • Ensure all required new-hire documents are completed accurately and on time.
  • Coordinate employee setup within the HRIS and other applicable HR systems.
  • Coordinate Form I-9 completion and maintain appropriate employment eligibility documentation.
  • Proactively communicate with new hires and hiring leaders about outstanding requirements, deadlines, and next steps.
  • Partner with HR leadership to ensure employees are prepared for a successful first day.
  • Identify opportunities to automate and continuously improve the pre-onboarding experience.
HRIS Administration & Data Compliance
  • Maintain accurate and complete employee information within the HRIS.
  • Process employee data changes, including job, department, supervisor, compensation, status, benefits, and other approved employment changes.
  • Conduct routine HRIS audits to identify missing, incomplete, outdated, or inaccurate information.
  • Maintain employee personnel records and required documentation in accordance with organizational policies and applicable record-retention requirements.
  • Monitor completion of required employee documentation and proactively follow up on missing items.
  • Generate recurring and ad hoc HR reports as requested by HR leadership.
  • Protect confidential employee information and maintain a high standard of data privacy and security.
  • Develop processes, reports, dashboards, and automated workflows that improve the accuracy and accessibility of HR information.
Benefits Administration
  • Coordinate the day-to-day administration of employee benefit programs.
  • Serve as a first point of contact for routine employee benefits questions.
  • Coordinate new-hire benefit enrollment and employee benefit changes resulting from qualifying life events.
  • Maintain accurate benefits information within the HRIS and applicable benefit systems.
  • Coordinate with insurance carriers, brokers, and benefit vendors to resolve administrative issues.
  • Help employees navigate enrollment and understand available benefits, escalating complex coverage or policy questions as needed.
  • Support annual open enrollment, including employee communications, system preparation, enrollment tracking, and follow-up.
  • Conduct routine benefits audits and assist with reconciliation between HRIS, payroll, and benefit-provider records.
  • Maintain benefit documentation and records.
AI, Automation & Process Improvement
  • Appropriately leverage approved AI tools to increase the efficiency, accuracy, and responsiveness of HR operations.
  • Identify repetitive administrative processes that can be simplified, automated, or eliminated.
  • Use AI and automation to support tasks such as employee communications, data review, reporting, document preparation, onboarding workflows, benefits resources, and employee self-service.
  • Maintain appropriate human review of AI-generated work and verify information for accuracy before it is used or distributed.
  • Use AI responsibly and in accordance with organizational policies regarding confidentiality, employee information, data security, and appropriate use.
  • Continually evaluate HR processes with the question: How can we make this simpler, faster, more accurate, and more helpful for our employees?
HR Department & Leadership Support
  • Provide administrative and project support to the Executive Director and Associate Director of Human Resources.
  • Assist with HR communications, reports, presentations, meetings, documentation, and special projects.
  • Respond to routine employee HR questions and ensure employees receive timely follow-up.
  • Support employee events, training, meetings, and other HR initiatives as needed.
  • Recognize matters requiring HR leadership involvement and elevate them promptly and appropriately.
  • Maintain professionalism, discretion, confidentiality, and excellent judgment when handling sensitive employee information.
Performance Measures
  • New hires consistently completing pre-onboarding requirements before their start date.
  • Accurate and complete employee information within the HRIS.
  • Timely identification and correction of missing or inaccurate employee data.
  • Accurate and timely benefits enrollment and qualifying-life-event processing.
  • Routine HRIS and benefits audits completed according to established schedules.
  • Employee HR and benefits questions receive timely, helpful responses.
  • HR leadership receiving accurate reports and administrative support when needed.
  • Measurable reduction in manual or repetitive HR work through thoughtful use of AI and automation.
  • Appropriate escalation of complex or high-risk HR matters.
  • Consistent protection of employee confidentiality and sensitive organizational information.
Qualifications
  • Previous HR, benefits, HRIS, payroll, administrative, or employee-service experience preferred.
  • Strong technology skills and demonstrated ability to learn new systems quickly.
  • Experience working with Paycor preferred.
  • Familiarity with AI productivity tools and workflow automation strongly preferred.
  • Strong attention to detail and commitment to data accuracy.
  • Excellent written and verbal communication skills.
  • Strong organizational and project-management skills with the ability to manage multiple priorities and deadlines.
  • Ability to handle confidential and sensitive employee information with discretion.
