Primary Job Duties Include
  • Develop and implement efficient procedures for scheduling exams, including regular exams, midterms, final exams, and make-up exams.
  • Collaborate with academic departments to gather exam schedules, specifications, and any special accommodations required for students.
  • Ensures the integrity and security of all tests and exams.
  • Supervises the Test Proctor responsible for frontline Testing Center operations.
  • Serve as the primary point of contact for students, faculty, and staff regarding exam scheduling inquiries, conflicts, and special requests.
  • Provide prompt and courteous assistance to resolve scheduling conflicts and address concerns.
  • Regularly evaluate and improve the efficiency and effectiveness of the exam scheduling process.
  • Stay updated on emerging trends and best practices in exam scheduling and implement relevant improvements.

Job Related Minimum Required Education and Experience
  • Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Knowledge/Skills/Abilities
  • Possess legible writing, accurate spelling, excellent communication, and organizational skills.
  • To be dependable and punctual.
  • Demonstrate the ability to work effectively in a multicultural/multi-ethnic environment.
  • The Testing Coordinator must be able to use various software programs, make decisions using good judgment while working with faculty and students.
Exam Scheduling Coordination
  • Develop and implement efficient procedures for scheduling exams, including regular exams, midterms, final exams, and make-up exams.
  • Collaborate with academic departments to gather exam schedules, specifications, and any special accommodations required for students.
  • Create and maintain a comprehensive exam schedule that accounts for overlapping exams, room availability, and faculty availability.
  • Manage the logistics of exam scheduling, including room assignments, seating arrangements, and necessary resources.
  • Ensures appropriate accommodations are provided for each student during testing.
  • Make sure adaptive equipment and/or materials are available for students at the time of the test.
  • Communicates via email or telephone with faculty to ensure appropriate instructions are in place, the correct test is copied and proofed, and ensures tests are stored in a secure location and returned to faculty in a timely manner.
  • Discusses accommodations with staff when there are questions about appropriate accommodations during testing
Customer Service and Communication
  • Serve as the primary point of contact for students, faculty, and staff regarding exam scheduling inquiries, conflicts, and special requests.
  • Provide prompt and courteous assistance to resolve scheduling conflicts and address concerns.
  • Communicate exam schedules, changes, and any relevant information to stakeholders in a clear and timely manner.
  • Collaborate with testing centers and academic departments to ensure a seamless and coordinated exam scheduling process.
Continuous Improvement and Optimization
  • Regularly evaluate and improve the efficiency and effectiveness of the exam scheduling process.
  • Stay updated on emerging trends and best practices in exam scheduling and implement relevant improvements.
  • Work collaboratively with academic departments, faculty, and staff to identify areas for improvement and implement solutions.
  • Participate in training and professional development opportunities to enhance knowledge and skills related to exam scheduling.
  • Provides training for graduate assistants, part-time employees and volunteers who proctor tests for students.
  • Ensures SDRC procedures are followed appropriately and instructions from faculty are carried out. Updates policies and procedures to reflect recent changes in student management system and when new guidance is provided by the federal government regarding testing.
