Work Schedule
8:00 am - 5:00 pm; Monday - Friday with flexible evening and weekend hours required in conjunction with event schedules.
Primary Purpose of Position
This position serves as an Event Coordinator, responsible for coordinating event and meeting logistics, as well as providing invoicing and tracking of event satisfaction. Serves as Event Manager for designated events within Venue Management spaces. Assists in the hiring, training, and supervision of student event staff. Also supervises contracted event staff and medical personnel when deemed necessary.
Required Minimum Qualifications: Bachelor’s degree; or equivalent combination of education and experience. All degrees must be received from appropriately accredited institutions. - Serves as Event Manager for designated events throughout the facility.
- Acts as the on-site liaison for Salon space, meeting with clients to anticipate issues and assisting clients in developing a sound, successful event plan.
- Role as onsite liaison for Salons includes working with clients throughout the duration of the event process, including pre-event preparation, event, and post-event evaluation.
- Prepares and distributes 25live report(s) and event calendar(s) on a weekly basis.
- Gathers and disseminates all pertinent event-related information to various areas in the department, and where applicable, to the university community.
- Coordinates appropriate staffing needs based on event needs, including both university and contracted staffing.
- Oversees the collection of post-event surveys to benchmark customer satisfaction.
- Develops and maintains strong relationships with both internal and external customers while developing work relations with key partners across campus.
- Provides excellent customer service to clients, patrons, visitors, and fellow staff.
- Ensures event compliance with all safety, fire, and security regulations as well as a working knowledge of ADA requirements.
- Proactively works to ensure a safe environment is provided for patrons, clients, and staff.
- Conducts and participates in bi-weekly Event Meetings to engage fellow staff to identify challenges and areas for improvement.
Other Work Responsibilities
- Develop and maintain strong working relationships with University departments involved in event operations, including Conference Services, University Recreation, Facilities Management, Parking, Police, and Catering.
Departmental Preferred Experience, Skills, Training/Education
- Experience in recreation, sport management, higher education, large conferences, athletics, or event planning and execution.
- Experience in scheduling, training, and managing student staff.
- Experience with event-specific diagramming and scheduling software.
- Strong background in customer service, safety, and security.
- Experience and/or working knowledge of crowd management best practices, ADA requirements, and fire code regulations
