Base pay range

$20.00/hr - $23.00/hr

THE POSITION

We are actively seeking a Coordinator, Global Events Operations.

WHAT YOU WILL DO

You will play a vital role in supporting the coordination of key components of ISPOR’s meeting program, including global conferences, summits, regional meetings, and other events in both in-person and virtual formats. This role involves close collaboration with the Global Events Operations team to ensure efficient processes, high-quality outcomes, and exceptional customer service.

Acting as a liaison between ISPOR staff, venues, and vendors, you work within established timelines to streamline operations and uphold organizational standards. In addition to the responsibilities outlined below, you may take on other duties as assigned, contributing to the overall success of ISPOR’s events.

  • Provide administrative assistance for various logistical aspects of conferences, including room setups, hotel room blocks, catering, audiovisual coordination, staffing, security, and signage.
  • Create and maintain the event specifications, master schedule and pre-conference venue guides to ensure seamless event execution.
  • Support the Associate Director of Operations, Global Events, in sourcing and procuring future meetings and event venues, including contract review forms.
  • Collaborate with the Associate, Global Events Operations, to develop web copy and manage the display of meeting information on conference websites, ensuring accuracy and clarity.
  • Assist in reviewing and proofreading printed meeting materials for all conferences to maintain high-quality standards.
  • Organize and maintain historical meeting statistics, market research records, and documentation for the Global Events team.
  • Assist the Global Events Operations team in preparing pre-conference reports and compiling post-event lessons learned and recommendations for future events.

WHAT YOU MUST HAVE

  • Minimum of High School Diploma or equivalent required, bachelor’s/associate’s degree preferred in tourism/hospitality.
  • 1-2 years’ directly related experience in event/meeting planning strongly preferred, with at least 1 year in an administrative role.
  • Proven ability to manage multiple priorities effectively in a dynamic, deadline-oriented environment.
  • Highly organized, with good time management skills.
  • Ability to exercise diplomacy dealing with high level international VIPs.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Asana.

OUR LOCATION

ISPOR’s headquarters is in Lawrenceville, New Jersey, which is halfway between Philadelphia and New York City. Our staff works in a hybrid arrangement: on-site two designated days per week: Wednesday and Thursday.
