Kripalu in Stockbridge, MA is seeking an Event Coordinator to join the Program Operations Team. You will coordinate all classroom and program needs and provide on-site support for events, working closely with presenters and Kripalu departments to ensure smooth delivery.

Responsibilities

  • Problem-solve issues during planning and execution, coordinating with Production and AV teams.
  • Maintain program schedules, create and maintain BEOs, and participate in weekly BEO meetings.
  • Support across departments and develop SOPs with management.
  • Maintain flexible coverage for shifts as needed.

Job Details: Job Location: 57 INTERLAKEN RD - STOCKBRIDGE, MA, Salary Range: $20.00 - $22.00Hourly,

Position Summary The Event Coordinator serves as a member of our Program Operations Team and acts as the liaison for our guest presenters and group leaders. The role is responsible for coordinating all classroom and program needs, while providing on-site support for all assigned programs, groups or special events. Works closely with Manager, other Event Coordinators, and the Operations team across the organization. The ideal candidate should be a team player who communicates effectively with presenters and Kripalu departments as well as ensures the successful delivery of assigned programs and events.

Accountabilities
  • Communicate and plan effectively with presenters and Kripalu departments to ensure the successful delivery of assigned Programs, Groups and Events.
  • Coordinate pre-production details such as program schedule, book signings, supplies, audio visual, room setup, assistants, housing and transportation.
  • Serve as the host for presenters, group leaders, musicians, or other designated personnel on the day of their arrival to review event details and ensure a successful execution;
  • Problem-solve issues that arise during planning and execution, regularly communicating and collaborating with the Production and AV teams.
  • Lead meetings and/or operations related to management of large marquee programs, livestreams or special events as assigned.
  • Partner with coordinator team to create and maintain the program schedule screens
  • Create and maintain BEOs, collecting data and capturing updated program information.
  • Participate in weekly BEO meetings
  • Actively participate in continually evaluating and improving the experience of all Presenters and Guests.
  • Maintain working knowledge of planning systems across all programming areas and internal events.
  • Partner with Manager to develop position manuals, documentation, and standard operating procedures.
  • Provides coverage or perform special projects and miscellaneous duties as assigned by management, within production and in other areas of the organization when needed.
  • Provides coverage for other shifts as needed and maintains a flexible schedule

Qualifications
  • Minimal Qualifications Associates degree in a relevant area, or the equivalent combination of education and experience
  • Minimum of 2-3 years' experience with Event or Program planning
  • Intermediate knowledge of Microsoft Office products, Specifically Word, outlook, and Excel.
  • Flexibility to adjust schedule as needed to support programs
  • Ability to learn new software, systems, and technology
PHYSICAL REQUIREMENTS
  • Ability to stand and sit for extended periods of time
  • Ability to use fine motor skills
  • Ability to adapt to changes in temperature due to changing weather or building conditions
  • Ability to bend, stoop, reach, crouch, walk, kneel, push, pull and twist repeatedly
  • Ability to tolerate exposure to noise from general environment
  • Ability to write notes, emails, and items of similar nature on a computer, touch screen, or by hand
