Job Description:

POSITION SUMMARY:
The Event Coordinator supports the sales department in executing essential behind-the-scenes administrative functions that keep the store operating efficiently. This role is vital for delivering our promise of “unreasonable hospitality.” The Event Coordinator is responsible for completing administrative duties, making confirmation calls to finalize event details, and participating in the sales process, including booking a portion of our social market.


YOU WILL BE AN OUTSTANDING EVENT COORDINATOR IF:

  • You are friendly and demonstrate a “You Got It” attitude.
  • You demonstrate good decision-making skills and communicate effectively with guests, the Sales Team, and Management.
  • You communicate clearly and regularly with Operations, the Sales Team, and guests.
  • You can clearly verbalize guests’ needs to Operations and other Team Members.
  • You have strong organizational skills.
  • You possess strong verbal communication skills.
  • You can analyze basic data to assist Operations and the Sales Team in decision-making.
  • You can read and communicate effectively in English.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Go above and beyond to meet the needs of each Special Events Guest, communicating all requests from the host and ensuring contracts are updated accordingly.
  • Handle RFPs and calls for social events, converting inquiries into confirmed bookings.
  • Conduct site tours as needed.
  • Ensure accurate and prompt distribution of paperwork for “pop-up parties,” coordinating with the management team to ensure adequate staffing.
  • Provide administrative support to the Sales Department, including follow-up on calls, emails, and tasks post-sale, and communicate any changes to BEOs or signed contracts to Operations.
  • Follow up on accounts receivable, collect payment information, and close remaining balances.
  • Submit check requests and invoices as needed.
  • Ensure Operations has the most current BEO for each event.
  • Offer upsell opportunities to Event Hosts after a sale is finalized.
  • Perform other duties as assigned, proactively addressing needs and supporting team members.

Salary Range: $18 - $20.50 per hour.
