Job summary

A local educational institution in Stillwater is seeking an Evening Registrar to manage student enrollments, serve as a receptionist, and oversee financial transactions. Ideal candidates should hold a bachelor’s degree, excel in Microsoft Office, and possess strong communication skills. The role requires working hours from 12 p.m. to 10 p.m. on weekdays. Salary will be commensurate with experience, and the position is available immediately.

Responsibilities

  • Serve as evening receptionist and switchboard operator.
  • Serve as evening bursar – receipting all money and preparing the evening deposit.
  • Enroll students utilizing the student information system.
  • Prepare roll sheets and teacher packets for classes.
  • Monitor attendance and notify students if attendance risks course completion.
  • Prepare an evaluation schedule for open enrollment classes and tally evaluations.
  • Prepare course completion certificates and enter completion codes in CTIMS.
  • Schedule and reserve training rooms and manage events calendar for classes.
  • Maintain up-to-date teaching materials and check materials/keys in/out to instructors.
  • Submit quarterly reports of adult training enrollments in CTIMS.
  • Prepare requisitions and purchase orders for equipment and supplies.
  • Assist instructors with curriculum and material needs.
  • Prepare payroll memo and time sheets for instructors.
  • Maintain class and instructor files for short-term courses.
  • Initiate invoices as needed for training.
  • Communicate effectively with callers and walk-in clients.
  • Send enrollment confirmations for Adult Training courses.
  • Facilitate enrollment and access to online courses.
  • Work hours are 12 p.m. – 10 p.m. and report any exceptions.

Essential Job Functions
  • Serve as evening receptionist and switchboard operator.
  • Serve as evening bursar – receipting all money and preparing the evening deposit.
  • Enroll students utilizing the student information system. Prepare and send confirmation letters for short‑term courses.
  • Prepare roll sheets and teacher packets in preparation for classes.
  • Monitor student attendance and prepare letters to students if attendance threatens to fall below acceptable level in those courses requiring minimum attendance for course completion.
  • Prepare an evaluation schedule for open enrollment classes, inform evening supervisor of classes that need to be evaluated, and tally student evaluations.
  • Prepare course completion certificates and enter completion codes in the student accounting system.
  • Schedule and reserve training rooms, prepare event sheets, and add updates to the events calendar for short‑term classes as needed.
  • Keep up‑to‑date files on all teaching materials.
  • Check materials and keys in and out to instructors.
  • Prepare and submit quarterly reports of adult training and development enrollments in the CareerTech Information Management System (CTIMS).
  • Prepare requisitions and purchase orders as needed for equipment and supplies for short‑term courses.
  • Assist evening instructors with curriculum and course material needs.
  • Prepare requisitions, instructor contracts, time sheets, and monthly payroll memo.
  • Maintain class files and instructor files for short‑term courses.
  • Initiate invoices as needed for training.
  • Have excellent communication skills on the telephone and with walk‑in clients.
  • Prepare and send enrollment confirmation letters for Adult Training and Development courses.
  • Facilitate enrollment and access to online learning courses.
  • Utilize work time efficiently between the hours of 12 p.m. and 10 p.m. and report any exceptions to the Assistant Director of Adult Training and Development.
  • Abide by all policies and procedures adopted by the MTC Board of Education.
  • Promote Meridian Technology Center, its programs and employees at every available opportunity.

  • Complete other duties, tasks or projects as requested by the Executive Director of Workforce and Economic Development, the Director of Adult Training and Development, the Assistant Director of Adult Training and Development, or the Evening Supervisor.
Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to occasionally lift items weighing as much as 25 pounds.

Work Hours

Monday through Thursday 12:00 p.m. – 10:00 p.m.

12‑month position

Standards of Performance

The Evening Registrar will be evaluated on the previously listed responsibilities to determine satisfactory compliance. These evaluations will determine salary increases and career advancement possibilities.
