ORANGE COUNTY PROPERTY MANAGEMENT I is seeking an Administrative Assistant to support our property management team in Huntington Beach. You will assist office staff and property managers, answer calls, handle scheduling, and maintain records with a professional, customer-focused approach.

The role emphasizes strong communication, organization, and attention to detail while delivering exceptional service to tenants, owners, and vendors.

Qualifications

  • High school diploma/GED required.
  • Previous experience as an Administrative Assistant or in a similar position.
  • Familiarity with standard office equipment such as printers and fax machines.
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint.
  • Highly organized with excellent time management skills and the ability to prioritize projects.

Responsibilities

  • Answer and direct phone calls, emails, and other correspondence in a professional manner.
  • Greet and assist tenants, property owners, vendors, and visitors.
  • Schedule and coordinate appointments, meetings, and property inspections.
  • Prepare and distribute correspondence, reports, and property notices.
  • Maintain organized records of leases, maintenance requests, and other documents.
  • Assist property managers with tenant communication and follow-ups.
  • Support accounting tasks, such as collecting payments, processing invoices, and data entry.
  • Coordinate vendor services and track work orders.
  • Assist with resident move-ins, move-outs, and lease renewals.
  • Perform general office duties, including filing, scanning, and ordering office supplies.
  • Ensure smooth day-to-day office operations and provide administrative support to all departments.
