Job summary

Rytech Restoration is seeking a Client Services Intake and Dispatch Coordinator to be the operational hub connecting customers with our teams. You'll manage call queues, dispatch requests, and track progress from first call to final update, ensuring high-quality service and thorough documentation across systems.

Qualifications

• High school diploma or equivalent.
• 1+ years of customer service, dispatch, or administrative experience.
• Excellent written and verbal communication skills.
• High attention to detail and accuracy in data entry and documentation.
• Ability to manage multiple priorities in a fast-paced, high-volume environment.
• Comfortable navigating multiple software systems and email platforms at the same time.

Responsibilities

• Manage incoming call queues and provide professional, empathetic service to customers during high-stress situations.
• Assign and dispatch service requests to technicians via email and internal platforms.
• Accurately enter and update assignments, notes, and scheduling details across multiple systems.
• Track job status and ensure timely updates, including inspection schedules and completion milestones.
• Proactively follow up on assignments, including addressing delays, rejections, or missing information before they become problems.
• Communicate clearly with technicians, vendors, customers, and internal teammates throughout each job.
• Maintain detailed, organized documentation so everyone on the team has the visibility they need.
• Identify gaps or inefficiencies in workflows and flag them for improvement.
• Perform other duties as assigned to support the needs of the team and business.
