Voda Cleaning & Restoration of NW Arkansas is seeking a Dispatch & Customer Care Coordinator to keep daily operations running smoothly. You will answer inquiries, coordinate technicians, schedule dispatches, and maintain organized job information to prevent details from slipping through the cracks.

Ideal candidates are highly organized, communicate clearly, take initiative, and can manage multiple moving pieces with minimal direction.

Responsibilities

• Answer phones and respond to new customer inquiries
• Manage incoming leads and follow up with potential customers
• Schedule and dispatch technicians
• Communicate appointment details and job updates with customers
• Monitor jobs and coordinate next steps
• Ensure technicians have required updates and documentation
• Review time entries and follow up on missing time records
• Organize job documentation including photos, readings and customer signatures
• Enter cleaning estimates and job information into CRM
• Track equipment to ensure correct assignment
• Order and track supplies to ensure team has necessary materials

Voda Cleaning & Restoration of NW Arkansas is growing, and we’re looking for an organized, dependable, and customer-focused person to join our team as a Dispatch & Customer Care Coordinator.

This position plays an important role in keeping our day-to-day operations running smoothly. You’ll communicate with customers, coordinate technicians and schedules, keep job information organized, and help make sure important details don’t fall through the cracks.

Responsibilities

• Answer phones and respond to new customer inquiries
• Manage incoming leads and follow up with potential customers
• Schedule and dispatch technicians
• Communicate appointment details and job updates with customers
• Monitor jobs throughout the day and help coordinate next steps
• Keep technicians on track with required job updates and documentation
• Review technician time entries and follow up on missing or incomplete time tracking
• Review and organize job documentation, including photos, readings, customer signatures, and required closeout information
• Follow up with technicians when required job information is missing
• Enter cleaning estimates and job information into our CRM
• Track equipment and make sure it is assigned to the appropriate jobs
• Order and track supplies and inventory to help ensure the team has the materials and equipment they need.
• Learn the administrative side of insurance restoration jobs as you grow in the position
