Job summary

Bay Beach Veterinary Emergency Hospital in Virginia Beach, VA is seeking a Client Service Representative to create a positive first impression for clients and their pets. This role handles in-person and phone interactions, records, scheduling, and payment processing to support the veterinary team.

The CSR will greet clients, check patients in/out, manage communications, and assist with the hospital's daily operations while maintaining professional, empathetic service and accurate documentation.

Qualifications

• High school diploma or equivalent required.
• Previous experience working with animals preferred; veterinary or animal care background valued.
• Basic computer proficiency, including practice management software, email, and MS Office.
• Able to perform basic math for cash handling and scheduling.
• Manual dexterity for typing, filing, and handling patients or supplies.
• Strong written and verbal communication skills with clients and team.
• Ability to lift up to 50 pounds and handle animals up to 130 pounds.
• Professional, neat appearance consistent with hospital standards.

Responsibilities

• Greet clients and patients warmly and provide empathetic, attentive service.
• Check-in and check-out patients and communicate real-time status to staff.
• Maintain client communications via phone, email, and mail, including follow-ups.
• Schedule and confirm appointments; triage patients by urgency.
• Explain hospital services, vaccines, diagnostics, and care plans to clients.
• Manage sensitive situations with tact and professionalism.
• Maintain accurate patient records and ensure proper payment processing.
• Assist veterinarians and staff with patient care and administrative tasks.
• Support opening/closing and weekend duties as assigned.
