Job summary

The SUNY Downstate Health Sciences University Department of Ambulatory Care Services seeks a full-time TH Staff Assistant 2 / ED Registrar to handle ED registrations, demographics collection, insurance verification and chart preparation. You will manage telephone triage, patient inquiries and ensure accurate and complete records while coordinating with departments for patient flow and follow-up care.

You will apply proper forms, assist with post-discharge transportation, and support admissions

Qualifications

• 1–2 years of experience in a healthcare, medical office or hospital setting, particularly in-patient registration, scheduling, or insurance verification
• Proficiency in medical terminology
• Strong computer skills, including Microsoft Office (Access, Excel, PowerPoint, Word)
• Demonstrated ability to function effectively in a high-pressure, fast-paced environment
• High School Diploma or GED
• Experience with insurance verification (Medicare, Medicaid, HMOs)
• Experience using the EAGLE system or similar Electronic Health Records platform
• Or, a satisfactory equivalent combination of education, training, and experience

Responsibilities

• Conducts quick and full registrations for ED services and applies wristbands to patients
• Registers ambulatory surgery, endoscopy procedures and L&D patients
• Searches for patient files to prevent duplicate records
• Interviews patients to collect accurate demographic and insurance data
• Explains and obtains signatures on forms including consent, privacy notices, and patient agreements
• Facilitates transportation for discharged ED patients
• Reviews and updates demographic and financial data on forms
• Answers, triages and routes incoming ED phone calls
• Verifies coverage and checks insurance eligibility
• Schedules follow-up outpatient appointments in Acuity or Altera Health bridge
• Assists patients and staff with inquiries
• Prepares medical charts with documentation
• Maintains knowledge of organizational policies and HIPAA compliance
• Set up Death Certificates in eVitals and process OCME/Funeral Home pickups
• Process bed transfers and patient discharges
• Process chart conversions between ED, Observation and Inpatient
• Manage inpatient bed assignments
