Responsibilities

  • Maintains workflow documentation and processes within the EHR system.
  • Documents changes from vendor release notes impacting operations.
  • Recommends EHR system and workflow changes to improve efficiency.
  • Tracks and manages requested EHR changes from concept to implementation.
  • Coordinates testing of changes with stakeholders and vendor.
  • Coordinates EHR changes with superusers and agency leadership.
  • Collaborates with EHR vendor application support staff.
  • Acts as escalation point for EHR-related questions from trainers and management.
  • Assists in planning new initiatives related to the EHR system.
  • Responds to escalated EHR help desk tickets.
  • Troubleshoots and documents EHR issues; coordinates with vendor for fixes.
  • Attends to EHR interface errors and ensures accurate data transmission.
  • Initiates and coordinates interface change requirements.
  • Maintains change logs for interfaces and configurations.
  • Develops and maintains role-based security profiles in the EHR system.

Job description

Duration: 6–12 months with option to extend (not to exceed 12 months total)

Work Mode: Onsite

Monday–Friday, 8:00 AM–5:00 PM with 1-hour lunch

Job Description
  • The Electronic Health Records Specialist is responsible for effective and efficient use of the Electronic Health Records (EHR) system. This includes maintaining training, reference, and troubleshooting materials; ensuring that changes to the system are made in an orderly fashion; and collaborating with a wide variety of stakeholders, including clinic and regional staff throughout the state, programmatic staff whose administrators are in Oklahoma City, system support staff, others in Community Health who support specific aspects of the EHR, and the EHR vendor.
Responsibilities / Essential Functions
  • Maintains training materials for the EHR. Assists in training.
  • Maintains workflow documentation regarding processes and procedures utilizing the EHR.
  • Documents and communicates changes included in vendor release notes which have an impact on OSDH EHR operations.
  • Recommends changes to the EHR system and workflows in order to promote efficiency and effectiveness.
  • Tracks and manages requested changes and new requirements for the EHR system from conception through implementation.
  • Coordinates testing of changes to the EHR with relevant stakeholders, including program staff, trainers, managers, OMES, vendor, etc.
  • Coordinates implementation of OSDH-controlled changes to the EHR with superusers and agency leadership.
  • Works collaboratively with EHR vendor application support staff.
  • Serves as a point of escalation for EHR-related questions from OSDH trainers and management.
  • Collaborates with members of the OSDH EHR Governance Committee.
  • Assists in planning and executing new initiatives relating to the EHR system.
  • Responds to escalated EHR help desk tickets.
  • Troubleshoots and documents EHR application issues. Escalates and coordinates with the EHR vendor on a potential fix, testing, and resolution into production.
  • Attends to EHR interface errors to ensure that information is completely communicated between the EHR and its system connections.
  • Initiates, collaborates, and coordinates changes for required or desired changes to interfaces.
  • Coordinates changes to supporting tables and configurations within the EHR, testing thoroughly.
  • Maintains a change log to record changes in interfaces, codes, and other supporting tables and configurations within the EHR system.
  • Develops and maintains role-based security profiles in the EHR system, working collaboratively with agency leadership.
  • Being present at the office is an essential function of the job.
  • Other duties as assigned.
  • Requirements:
  • Bachelor’s degree in Health Information Management, Computer Science, Information Technology, Software Development or Management, Project Management, Public Health, Nursing, Business, or related degree and three (3) years of experience;
  • OR
  • Associate’s degree plus an additional five (5) years of relevant experience.
