Job summary

The American Heart Association in Metairie is seeking an Event Planning Coordinator to support fundraising events across the greater New Orleans area. This hybrid role requires coordinating logistics, vendors, volunteers, and budgets while traveling to in-person events as needed.

You will work with the development team, report to the Vice President of Development, and help deliver engaging donor experiences with attention to detail and strong organizational skills.

Qualifications

• High school diploma or equivalent.
• Minimum 3 years of experience in event management, project coordination, or administrative support.
• Excellent attention to detail, calendar organization and time management.
• Ability to work independently, prioritize, and handle multiple tasks.
• Proficient with Microsoft Office applications; some evenings/weekends may be required.
• Requires reliable transportation and ability to move/heavy objects with assistance if needed.

Responsibilities

• Coordinate logistics for donor receptions, Heart Walks, Galas and related events.
• Secure and coordinate venue, catering, AV, staging, and vendor details with compliance reviews.
• Recruit, schedule and train volunteers; act as main contact for vendors, sponsors and attendees.
• Attend in-person events to manage setup, execution and teardown.
• Monitor budgets, invoices and expenses; prepare reports as requested.
• Create and update Excel spreadsheets; manage schedules and communications with directors and volunteers.
• Prepare presentations, correspondence and documentation in a timely manner.
