Job summary

American Heart Association is seeking an Event Planning Coordinator for our Newark, DE location with flexible work-from-home days as needed. The role supports Delaware and Harrisburg campaigns, coordinating logistics, vendors, and volunteers while handling event data and payments.

You will work with the development team to drive fundraising events, manage communications, and ensure compliance with financial processes and PCI procedures. Occasional travel is required.

Qualifications

• A high school diploma or equivalent is required.
• At least 3 years of administrative, project coordination, or event management experience preferred.
• Experience with event planning, coordination, and vendor management is desirable.
• Proficiency in PowerPoint, Word, and Excel is expected; familiarity with Zoom/Teams is beneficial.

Responsibilities

• Coordinate event logistics from start to finish for donor events, galas, and Heart Walks.
• Research, secure, and manage vendors and venues within budget and guidelines.
• Support data management, donations, and revenue tracking across event systems.
• Assist in budget monitoring, financial reporting, and processing payments.
• Prepare event communications and coordinate with marketing on branding.
